Full Job Description

Job Overview
The primary responsibility of the Dermatology Front Desk Receptionist is exceptional patient care. We are looking for an experienced, energetic and hardworking person that is an extraordinary front office/receptionist with outstanding teamwork and learning potential at a dermatology/medical office to join us. They will work closely with the provider and front office leads and will provide essential support and back up to the front office team. Candidates with eClinicalWorks, eCW, (1 year REQUIRED within 2 years), at least one year of medical office experience, preferably Dermatology, and Spanish speaking skills REQUIRED.

We want our patients to feel welcomed to the Practice, so a professional, friendly and considerate attitude and positive demeanor as well as excellent communication skills are essential for the right candidate.

ESSENTIAL SKILLS AND ABILITIES:

At minimum of 1 year of recent (within 2 years) and comprehensive experience working with eCW systems REQUIRED
At least 1 year of experience working in a medical front desk/receptionist position at a medical office REQUIRED
High school diploma or equivalent REQUIRED
Bilingual in English and Spanish REQUIRED
Excellent computer skills, including Microsoft Office, eligibility portals and eCW REQUIRED
Dermatology experience PREFERRED
Fast learning self starter with outstanding recall and teamwork mentality
Excellent customer service, interpersonal and communication skills
Treats patients, visitors and co-workers with respect
Professional and friendly attitude
Ability to work well as a team member and receive instructions and constructive criticism from team leads
Great problem-solving skills, organized and attentive to detail
Ability to utilize solid time management and prioritize tasks
Takes initiative, reliable and punctual
Empathetic with patients' needs and concerns
Demonstrated ability to manage medical records accurately while maintaining confidentiality under HIPAA guidelines
Ability to work effectively and efficiently in a fast-paced environment
Excellent phone etiquette with the ability to handle multi-line phone systems efficiently in a high call volume office
Ability to effectively triage calls from patients to ensure appropriate scheduling and transfer to correct department
Outstanding communication skills with provider, manager, back office and team leads.

RESPONSIBILITIES-->REQUIRED travel between both sites

Front Desk Duties

Patient Check-In/Check-Out

Welcoming and greeting all patients and visitors, in person or over the phone with polite and proper etiquette
Provide new patients with New Patient Forms/consents, or if patients haven’t been seen in 1 year or more, provide a demographics form to update
Collect and scan photo ID and all insurance cards, including pharmacy cards and Medicare cards and verify patient demographics and pharmacy.
Ensure patient intake forms are completed correctly
Verify insurance eligibility and benefits, ensure referrals are received for appropriate insurances, receive preauthorizations before procedures. All should be done before patient's visit. All should contain the appropriate physician and company name, correct treatment dates as well as appropriate patient information
Create check in/check out slips, appropriately, prior to patient visits.
Scan documents and assign them to the appropriate location within eCW
Process payments, collect copays, deductibles, self-pay monies or outstanding balances
Perform end of day process to ensure monies balance

Administrative

Places telephone calls to new patients to confirm upcoming appointments and verify information required of the patient at the time of appointment
Inspects waiting room for neatness, cleans and organizes as needed. Disinfect at the end of the day and organize magazines, as needed
Multitasking between phone calls, registering new patients, faxing and other administrative duties as assigned by provider, manager or team leads
Maintain/learn working knowledge of dermatology
Explain procedures, patient costs and personalized skin care plans
Address patient queries (via email, phone or in-person)
Monitor physicians' schedule at each clinic location and schedule patients, appropriately
Maintain patient flow (checking patients in and out, confirming appointments, filling in cancellations, etc.)
Attend all office meetings and training sessions as scheduled
Count Petty Cash daily
Create Slips in advance
Comply with state and federal regulations and have a general understanding of HIPAA guidelines
Assists in the ordering, receiving, stocking, and distribution of office supplies
Performs other duties as assigned

Appointment Scheduling

Schedule medical appointments using eCW
Conduct daily review of schedule status for the remainder of the week and the following two weeks
Schedule all appointments at the patient’s desired location and per the provider’s scheduled availability
Confirm appointments if they are not confirmed through the automated system
Cancel and reschedule appointments as necessary; conduct follow-up on no-shows
Communicate with patients utilizing Healow

Miscellaneous Duties

Assist in general office duties and other duties as assigned
Give mail to accounting
Check emails, faxes and voicemail regularly throughout the day
Complete tasks assigned in eCW or by provider, manager, billers and team leads
Maintain a professional appearance and positive attitude
Additional duties as assigned
