Job Overview

We are seeking a dynamic and detail-oriented Bookkeeper/Administrative Assistant to join our team! This vital role combines essential financial management with efficient administrative support, ensuring smooth daily operations and accurate record-keeping. The ideal candidate will be proactive, highly organized, and possess excellent communication skills to handle a variety of tasks with enthusiasm and professionalism. Duties

Manage day-to-day bookkeeping using QuickBooks, including invoicing, expense tracking, and bank reconciliations
Maintain accurate financial records and prepare reports for management review
Handle multi-line phone systems, directing calls professionally and courteously
Provide front desk support by greeting visitors, answering inquiries, and managing mail distribution
Assist with calendar management, scheduling appointments, and coordinating meetings
Perform data entry tasks with precision into spreadsheets and other productivity software
Support office management activities such as filing, document proofreading, and maintaining office supplies
Communicate effectively with clients and team members via phone, email, and in person to ensure excellent customer support
Organize and manage administrative files, ensuring confidentiality and easy retrieval of documents

Skills

Proficiency in QuickBooks for bookkeeping and financial tasks
Strong computer literacy with expertise in Microsoft Office Suite (Word, Excel, Outlook) and spreadsheet management
Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
Experience with multi-line phone systems and professional phone etiquette
Bilingual abilities are a plus for effective client communication in diverse settings
Demonstrated clerical experience including data entry, filing, proofreading, and document preparation
Exceptional time management skills to prioritize tasks effectively and meet deadlines
Customer service experience with a friendly demeanor and problem-solving attitude
Technical proficiency in productivity software such as Word processing tools and spreadsheets
Personal assistant experience or office management background preferred for seamless support operations
