Full Job Description

Job Purpose: Enhance CEO’s and MEI’s effectiveness by performing, coordinating and overseeing administrative tasks while providing an extensive level of executive support to CEO. Ensure that administrative duties are completed accurately and delivered with high quality and in a timely manner.

Duties and Responsibilities:

Project manager to all client introductions and outputs
Answer telephone and act as point of contact between CEO and internal/external clients
Manage high-activity daily calendar: schedule meetings, training and coaching sessions, and appointments; send invites, provide reminders and confirm
Arrange and follow up on all travel logistics, including air, hotel, parking, car service, etc.
Ensure all contacts and contact lists are current and accurate in Outlook
Schedule and coordinate webinars using Zoom web-conferencing tools
Maintain workflow by implementing and monitoring administrative processes and procedures, from agreement to on-boarding new clients and ongoing client coordination and service
Establish and maintain an efficient client filing and retrieval system
Review and verify credit card statements, organize and submit monthly travel expenses
Prep CEO for all meetings and appointments with pertinent, need-to-have documents in an organized folder, by client type
Review and debrief daily copy talks, highlighting key items and taking ownership of any items that fall within area of responsibility, i.e. summarizing and emailing homework assignments
Maintain supplies inventory and ensure operation of equipment
Follow up on all client tasks from coaching sessions
Participate in special projects and perform additional duties as may be required.

Knowledge & Skills:

Comfortable in a fast-paced, quickly changing environment with multiple tasks and projects
Excellent time management and prioritization sills; able to meet deadlines
Able to organize and manage large amounts of files, tasks, schedules and information
Professional level verbal and written skills; pleasant, patient phone demeanor
Proficient with MS Office Suite (Word, PowerPoint) and some Excel
Advanced MS Outlook skills; scheduling appointments/updating calendar a must
Some familiarity with HubSpot CRM platform preferred
Strong self-starter with the ability to perform at a high level with minimal supervision
Excellent follow-up and follow-through skills
Willingness to learn and communicate the Sandler Selling System

Job Type: Full-time
