Full Job Description

1. Patient Reception & Experience

Greet patients warmly and professionally.
Answer phones, respond to messages, and manage patient inquiries.
Check patients in and out efficiently.
Create a welcoming, family-friendly patient experience.
Communicate appointment expectations, forms, policies, and financial information clearly.
Handle patient concerns professionally and escalate clinical concerns to the dentist when appropriate.
Maintain patient confidentiality and follow HIPAA requirements.

2. Scheduling & Appointment Management

Schedule new and existing patient appointments.
Manage the daily schedule to maximize productive chair time.
Confirm appointments through phone, text, email, or the practice's communication system.
Maintain an effective recall and hygiene schedule.
Contact patients who are overdue for appointments.
Manage cancellations and no-shows.
Maintain a short-notice/cancellation list to fill openings.
Coordinate emergency appointments appropriately.
Coordinate treatment appointments with the clinical team.

3. New Patient Coordination

Handle new patient phone calls and inquiries.
Explain new-patient offers, practice policies, and payment options.
Collect required patient information and documentation.
Verify insurance information before appointments when applicable.
Follow up with new patients who have not scheduled.
Track new-patient leads from Google, website, social media, referrals, and other marketing sources.
Help convert inquiries into scheduled appointments.

4. Insurance & Billing

Verify dental insurance eligibility and benefits.
Obtain necessary insurance information and documentation.
Submit dental insurance claims accurately and promptly.
Track outstanding claims and follow up on unpaid claims.
Review insurance payments and explanations of benefits.
Post payments accurately.
Maintain accurate patient accounts.
Follow up on outstanding patient balances.
Explain estimated patient portions and payment expectations.
Coordinate financing/payment-plan options when offered by the practice.

5. Treatment Coordination

Present treatment estimates and financial information clearly and professionally.
Help patients understand their financial responsibilities.
Coordinate scheduling for accepted treatment.
Follow up with patients who have unscheduled treatment.
Maintain a treatment-pending/follow-up list.
Track treatment acceptance and outstanding treatment plans.
Coordinate closely with the dentist regarding treatment-plan questions.

6. Daily Financial & Administrative Duties

Collect patient payments at check-in/check-out.
Process credit/debit card and other approved payments.
Provide receipts and financial documentation.
Reconcile daily collections according to office procedures.
Maintain accurate records of payments and adjustments.
Assist with daily closing procedures and financial reporting.

Pay: $25.70 - $30.95 per hour
