Customer Experience & Operations Specialist

Location: On-Site
Position: Full-Time
Industry: Women’s Fashion / E-Commerce

1099 Contractor Role

About the Role

We are a fast-growing luxury women’s fashion and e-commerce brand looking for a highly organized, personable, and solution-driven Customer Experience & Operations Specialist to join our team on-site.

This role is extremely important to our brand. We are looking for someone who understands that great customer service is more than simply answering an email it is about making customers feel heard, valued, informed, and taken care of.

You will serve as one of the main connections between our customers and our internal team. Your goal will be to improve the overall customer experience, resolve concerns quickly, help reduce negative reviews, and identify recurring issues so we can continuously improve.

Key Responsibilities

Customer Service & Communication

Respond to customer emails professionally, warmly, and efficiently.
Answer incoming customer phone calls and assist with order questions, shipping concerns, returns, sizing, and general inquiries.
Assist customers visiting our showroom/store.
Respond to customer DMs across Instagram and Facebook.
Provide customers with accurate updates regarding their orders.
Follow up on unresolved customer concerns instead of allowing issues to fall through the cracks.
Escalate urgent or complicated situations to management when necessary.

Reviews & Customer Satisfaction

Monitor customer reviews across relevant platforms.
Respond professionally to negative reviews and customer complaints.
Reach out to dissatisfied customers when appropriate to help resolve their concerns.
Identify recurring reasons customers are unhappy and report trends to management.
Help turn negative customer experiences into positive resolutions.
Maintain a strong connection between what customers are saying and what the operations team needs to improve.

Returns & Order Issues

Assist with processing and monitoring customer returns.
Keep customers updated throughout the return process.
Investigate order discrepancies, missing packages, incorrect items, and other customer concerns.
Input and update FedEx tracking numbers when necessary.
Follow up on shipping issues until there is a clear resolution.

Mistake Tracking & Quality Improvement

Maintain and update the company’s Mistake Tracker.
Document fulfillment, shipping, packing, production, and customer-service errors.
Help identify which internal mistakes are creating customer complaints or negative reviews.
Provide management with recurring trends so corrective action can be taken.
Help hold the customer experience to a consistently high standard.

In-Store Operations Support

Monitor customer-service and general store supplies and communicate when items need to be reordered.
Keep customer-facing areas organized and professional.
Work closely with fulfillment, shipping, inventory, and management to resolve customer issues.
Communicate urgent order concerns to the appropriate team member.
Help ensure information given to customers matches what is actually happening with their orders.

Preferred Experience

3+ years of customer service or customer experience experience preferred
E-commerce, fashion, retail, or beauty experience is a major plus
Experience with Shopify preferred
Experience handling email, phone, social media, and in-person customer service
Familiarity with FedEx/shipping systems is a plus
Experience handling returns, shipping issues, disputes, or order tracking is preferred
