Job Overview
We are seeking a highly organized and dynamic Plastic Surgery Office Manager to oversee the daily operations of our specialized surgical practice. The ideal candidate will possess extensive experience in medical office management, with a focus on plastic surgery or related healthcare fields. This role requires exceptional leadership skills, financial acumen, and a comprehensive understanding of medical administrative support, ensuring smooth clinic functioning, compliance with healthcare regulations, and superior patient care. The Office Manager will serve as the backbone of our practice, fostering an efficient, compliant, and patient-centered environment.

Duties

Manage all aspects of clinic operations, including scheduling, patient flow, and staff coordination to optimize efficiency and patient satisfaction.
Oversee fiscal management activities such as budgeting, financial reporting, billing processes, and expense control to ensure financial health of the practice.
Supervise clinical and administrative staff, providing leadership, training, and performance evaluations to maintain high standards of service delivery.
Ensure compliance with healthcare regulations including HIPAA (Health Insurance Portability and Accountability Act), JCAHO (Joint Commission on Accreditation of Healthcare Organizations) standards, and other applicable laws.
Utilize electronic health record (EHR) systems such as Epic or eClinicalWorks to manage medical records accurately and securely.
Coordinate with medical providers to streamline clinical workflows and support medical management activities.
Oversee inventory control for medical supplies and equipment, including dental or surgical tools specific to plastic surgery procedures.
Maintain excellent communication with patients regarding appointments, billing inquiries, and pre/post-operative instructions.

Skills

Proven experience in medical office management within a plastic surgery or similar healthcare setting.
Strong knowledge of medical terminology, medical records management, and clinical workflows.
Expertise in fiscal management including budgeting, financial analysis, and managed care processes.
Proficiency with EMR (Electronic Medical Records) systems such as Epic or eClinicalWorks; familiarity with Dentrix is a plus.
Supervisory experience leading multidisciplinary teams in a healthcare environment.
Excellent organizational skills with the ability to multitask effectively in a fast-paced clinic setting.
Knowledge of HIPAA regulations and healthcare compliance standards such as JCAHO accreditation requirements.
