Showroom Administrative Assistant

Atlantic Plumbing Supply

Position Summary

Atlantic Plumbing Supply is seeking a highly organized, customer-focused Showroom Administrative Assistant to support the daily operations of our showroom. This role serves as a key point of contact for customers, vendors, and internal team members while ensuring the showroom runs efficiently and maintains excellent customer service standards. The ideal candidate is detail-oriented, professional, and capable of managing multiple priorities in a fast-paced environment.

Key Responsibilities

Welcome and assist customers visiting the showroom with professionalism and enthusiasm.
Answer incoming phone calls, emails, and customer inquiries, directing requests to the appropriate team members.
Schedule customer appointments for showroom consultations and product selections.
Prepare quotes, proposals, sales orders, and customer documentation as directed by the showroom team.
Maintain accurate customer records and update information within company systems.
Process purchase orders, invoices, and other administrative paperwork.
Coordinate with vendors regarding product availability, pricing, lead times, and deliveries.
Assist with order tracking and provide customers with updates on order status.
Support showroom displays by ensuring product literature, pricing information, and samples are organized and current.
Manage filing systems, correspondence, and administrative records.
Assist with inventory-related administrative functions and special projects as assigned.
Maintain a clean, organized, and professional showroom environment.
Collaborate with showroom consultants, sales representatives, warehouse personnel, and management to ensure customer satisfaction.

Qualifications

High school diploma or equivalent required; associate degree preferred.
Minimum of 1-3 years of administrative, customer service, or showroom experience.
Strong computer skills, including Microsoft Office Suite (Word, Excel, Outlook).
Experience with ERP, sales order, or inventory management systems preferred.
Excellent verbal and written communication skills.
Strong organizational skills and attention to detail.
Ability to prioritize tasks and manage multiple responsibilities effectively.
Professional appearance and customer-focused attitude.
Experience within the plumbing, construction, building supply, or home design industry is a plus.

Knowledge, Skills, and Abilities

Exceptional customer service and interpersonal skills.
Ability to work independently and as part of a team.
Strong problem-solving and follow-up skills.
Ability to maintain confidentiality and professionalism.
Comfortable learning new software and business processes.

Physical Requirements

Ability to sit, stand, and move throughout the showroom during the workday.
Ability to occasionally lift and carry product samples or office materials up to 25 pounds.
