Full Job Description

MP Design & Architecture is a busy architecture firm of 10 talented draftspersons dedicated to bringing innovative designs to life. We are looking for an organized, proactive Administrative Assistant to keep our office running smoothly.

This is a part-time position (24 hours/week) with the flexibility to pick up additional hours on a day-to-day basis as project demands evolve.

Key Responsibilities

Office Support: Manage daily administrative tasks and office communications.
Scheduling: Coordinate and schedule appointments and meetings for the team.
Project Follow-up: Track project status and proactively follow up on outstanding items to keep workflows on schedule.
Financial Tasks: Handle petty cash and payments for town/municipal fees using the company credit card.
Document Management: Assist with filing and organizing project-related documentation.
Errands: Handle local errands and drop-offs. Everything is downtown and within a 5-mile radius. In the rare event you need to travel further, the company will compensate you for gas.

Experience & Qualifications

Proven experience in an administrative or office support role (experience in architecture or construction is a plus, but not required).
Strong organizational skills and the ability to multitask in a fast-paced environment.
Reliability and excellent communication skills.
Must be comfortable handling financial transactions (fees/permits) with accuracy.
Requirement: A reliable personal vehicle is required for this role to handle local tasks.
Flexibility in scheduling to accommodate occasional spikes in workload.

A note on the pace: we have busy days, but we also have times where there is absolutely nothing to do. You must be comfortable with the ebb and flow of a small firm and be just as ready to handle downtime as you are to jump into action.

Pay: $20.00 - $24.00 per hour
