Executive Assistant to the CMO

The Executive Assistant to the CMO will provide high-level administrative and strategic support to the Chief Marketing Officer, serving as a trusted partner in managing daily operations, communications, and priorities. This role requires exceptional organizational skills, discretion, and the ability to anticipate needs in a fast-paced, high-growth environment. The Executive Assistant will collaborate closely with the Marketing leadership team, cross-functional stakeholders, and external partners to ensure the CMO's time and priorities are optimized for maximum impact.

Essential Job Duties & Responsibilities

Manage the CMO's complex calendar, scheduling and prioritizing meetings, travel, and events across multiple time zones and stakeholders.
Serve as the primary point of contact between the CMO and internal teams (Marketing, Sales, Product, Business Development) and external partners, vendors, and executives.
Prepare, edit, and proofread correspondence, presentations, reports, and briefing materials for internal and external meetings.
Coordinate logistics for marketing team meetings, offsites, and executive-level events, including agenda preparation and follow-up action items.
Manage expense reports, budget tracking, and invoice processing for the CMO's office.
Handle sensitive and confidential information with the utmost discretion and professionalism.
Track and follow up on key deliverables, deadlines, and priorities on behalf of the CMO to ensure timely execution.
Coordinate travel arrangements, including flights, accommodations, and detailed itineraries for domestic and international trips.
Partner with other Executive Assistants and administrative staff to ensure seamless coordination across the executive team.
Anticipate the needs of the CMO and proactively resolve scheduling conflicts, logistical issues, and administrative bottlenecks.

Required Skills, Knowledge & Abilities

Minimum 3–5 years of experience:

Providing executive-level administrative support, ideally to a C-suite or senior marketing executive, within fintech, technology, SaaS, financial services, renewable energy, or home improvement industries.
Managing complex calendars, travel logistics, and cross-functional communication for senior leadership.
Proficiency with Microsoft Office/Google Workspace, calendar management tools, and expense/budget tracking software.
Excellent written and verbal communication skills with the ability to represent the CMO professionally in internal and external interactions.
Strong organizational skills with exceptional attention to detail and the ability to manage multiple competing priorities.
High degree of discretion, judgment, and integrity when handling confidential and sensitive information.
Proactive problem solver who thrives in a collaborative, fast-paced environment.
Polished, professional demeanor with strong interpersonal skills across all levels of the organization
