Job Summary

We are seeking a dedicated and professional Receptionist/Administrative Assistant to join our dynamic team. This role is essential in creating a welcoming environment for clients and visitors while providing comprehensive administrative support to ensure smooth daily operations. The ideal candidate will demonstrate excellent organizational skills, strong communication abilities, and proficiency in office management tools. This position offers an opportunity to contribute to a well-organized office environment, supporting both internal teams and external clients with efficiency and courtesy.

Duties

Greet visitors and clients warmly, providing exceptional front desk customer service and maintaining a professional demeanor at all times.
Manage multi-line phone systems, directing calls accurately and courteously while handling inquiries efficiently.
Perform data entry tasks with precision using spreadsheets, word processing, and productivity software to maintain accurate records.
Organize and file documents systematically, ensuring easy retrieval and compliance with office procedures.
Support calendar management by scheduling appointments, meetings, and coordinating logistics for internal and external events.
Assist with office management duties such as ordering supplies, maintaining inventory, and ensuring the workspace remains organized.
Utilize computer skills for various administrative functions including proofreading documents, preparing correspondence, and updating client information.
Provide administrative support to team members including personal assistant tasks, document preparation, and project assistance.
Handle clerical tasks such as photocopying, scanning, mailing, and maintaining filing systems with attention to detail.
Demonstrate excellent phone etiquette when communicating with clients or vendors via phone or email.

Experience

Prior experience in an office environment or administrative role is required; familiarity with front desk operations is highly desirable.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with strong computer literacy skills.
Experience using QuickBooks or similar accounting software is a plus.
Demonstrated organizational skills with the ability to manage multiple priorities efficiently.
Strong interpersonal skills to provide excellent customer support and client communication.
Knowledge of multi-line phone systems, data entry procedures, and clerical practices.
Proven ability to handle confidential information discreetly while maintaining professionalism.
Previous experience in office management or personal assistant roles will be considered an asset.
