Sound Wellness Center is seeking an experienced, compassionate, and highly organized Spravato (Esketamine) Coordinator to oversee our outpatient Spravato treatment program for patients with treatment-resistant depression.
The ideal candidate has previous hands-on experience coordinating Spravato (esketamine) treatments and is knowledgeable about REMS requirements, insurance authorizations, buy-and-bill processes, medication management, patient monitoring, and specialty medication workflows. This individual will serve as the primary point of contact for patients while ensuring safe, compliant, and efficient delivery of care.
As our Spravato program continues to expand, this position has the opportunity to grow into a full-time role.
Responsibilities
- Coordinate all aspects of the Spravato treatment program from referral through maintenance therapy.
- Schedule patient consultations, treatment appointments, and follow-up visits.
- Verify insurance benefits and obtain prior authorizations for commercial insurance, Medicare, and Maryland Medicaid.
- Manage the buy-and-bill process, including medication ordering, receiving, inventory management, storage, and documentation.
- Coordinate with specialty pharmacies, insurance companies, pharmaceutical representatives, and healthcare providers.
- Ensure compliance with FDA regulations, Spravato REMS requirements, manufacturer guidelines, and HIPAA.
- Prepare treatment rooms and patients for Spravato administration.
- Educate patients and families regarding treatment expectations, transportation requirements, safety precautions, and potential side effects.
- Monitor patients before, during, and after treatment according to established clinical protocols.
- Document vital signs, patient observations, adverse reactions, and treatment completion in the electronic health record.
- Maintain accurate medication logs, inventory records, and REMS documentation.
- Assist with billing support, coding, reimbursement follow-up, and claims documentation.
- Collaborate with psychiatric mental health nurse practitioners, therapists, medical assistants, and administrative staff to ensure coordinated patient care.
- Participate in quality improvement initiatives and support the continued growth of the Spravato program.
Qualifications
Required
- High school diploma or GED.
- Minimum one year of direct experience working with a Spravato (esketamine) treatment program.
- Experience with Spravato REMS requirements and compliance.
- Experience completing insurance benefit verification and prior authorizations.
- Knowledge of buy-and-bill procedures, specialty medication ordering, and inventory management.
- Experience using electronic health records (Tebra/Kareo preferred).
- Strong organizational, communication, and customer service skills.
- Ability to work independently with excellent attention to detail.
Preferred
- Associate degree or healthcare-related education.
- Experience in outpatient psychiatry, behavioral health, specialty medication management.
- Experience with medical billing and coding for Spravato tx.
- Knowledge of Maryland Medicaid and commercial insurance plans.
- CPR certification.
