Position Overview

Seeking a detail-oriented and motivated Escrow Assistant to join our team in a dynamic and fast-paced environment. We are an Independent Escrow company governed by DFPI and EAFC; all applicants must be able to pass a background screening.

As an Escrow Assistant, you will play a crucial role in ensuring the smooth and timely closing of real estate transactions. You will work closely with escrow officers, clients, and third-party vendors, providing essential administrative support throughout the escrow process. Primary responsibilities include preparing documents, tracking deadlines, coordinating communication, and assisting with all aspects of file management from opening through closing.

This position requires a strong understanding of the escrow process, exceptional organizational skills, a tech-forward mindset, and the ability to effectively manage multiple priorities. Our office is collaborative and team-oriented; assistants may support multiple escrow officers and shift between competing priorities throughout the day. Success in this role requires flexibility, sound judgment, and the ability to remain calm and professional under pressure.

The ideal candidate is a well-rounded escrow professional who is comfortable contributing to all aspects of a file, enjoys working with a variety of personalities, and can communicate clearly and respectfully when managing workload expectations. Additional Responsibilities

Provide support to multiple escrow officers as business needs require.
Assist with all stages of escrow files, from opening through closing and post-closing activities.
Prioritize competing requests while maintaining accuracy, professionalism, and service standards.
Collaborate with team members to ensure workload coverage during peak periods, vacations, and absences.

Additional Skills

Demonstrated ability to manage competing priorities in a high-volume environment.
Strong interpersonal skills with the ability to work effectively with a variety of personalities and communication styles.
Ability to professionally communicate workload capacity and establish appropriate priorities when balancing multiple requests.
Self-starter who is adaptable, resourceful, and willing to assist wherever needed to support the team.

Additional Requirements

High school diploma or equivalent required; relevant experience in escrow.
Strong understanding of the escrow process; knowledge of real estate transactions is a plus.
Excellent organizational skills with the ability to manage multiple tasks and deadlines.
Proficient in Microsoft Office Suite (Word, Excel, Outlook); experience with RBJ escrow software is a plus.
Exceptional written and verbal communication skills to effectively interact with clients and colleagues.
Strong attention to detail and accuracy in document preparation and data entry.
Ability to work independently as well as part of a team in a fast-paced environment.
