Practice Manager

Ally Veterinary Specialty Center | Lincoln, MA

Location: Lincoln, Massachusetts

Type: Part-Time (25 to 30 hours/week), with the opportunity to grow into a full-time role as the practice expands

Reports To: Owner

Salary: $35 to $46/hour based on experience, credentials, and schedule

As an established specialty practice expanding into new disciplines and building a new multi-department hospital, we're looking for an experienced Practice Manager ready to help build the operational foundation for what comes next.

This is a rare opportunity. You won't just manage an existing operation, you'll help shape the systems, structure, and culture of a growing specialty center from the ground up. We're looking for someone who understands that how a practice feels to work in is just as important as how well it runs, and who wants to help build a place people are genuinely excited to come to work.

The Opportunity

We're seeking a collaborative, detail-oriented Practice Manager to help lead operations at Ally through a significant expansion: a new multi-department hospital, several incoming doctors, and the systems needed to support both. You'll work directly with ownership, take the lead on day-to-day operations, and partner closely with our front office team to keep culture, communication, and client experience strong through a period of fast change.

Key Responsibilities

Oversee day-to-day practice operations, budgeting, and financial reporting, including accounts payable/receivable and vendor invoicing
Manage inventory, supply ordering, and vendor relationships, with an eye toward cost control
Ensure compliance with OSHA, DEA, state veterinary board, and other applicable regulations
Lead staff scheduling, hiring support, onboarding, and performance review processes
Build and maintain a strong, positive workplace culture, especially through this growth period
Support consistent client service standards across the practice, available to help on the occasional complex situation
Manage facility upkeep, equipment maintenance, and vendor contracts
Oversee practice management software, records systems, and billing workflows
Support marketing and growth initiatives as the practice expands into new departments
Partner with our front office team, providing operational structure, mentorship, and support

You'll work alongside board-certified specialists in dermatology, ophthalmology, internal medicine, cardiology, neurology, oncology, and behavior, and you'll partner with an experienced front office team that has built a lot of what makes Ally special already. Your role is to bring operational structure and fresh thinking to that foundation, helping shape both how the practice runs and how it feels to work here, not to start from scratch.

Compensation & Benefits

Competitive pay: $35 to $46/hour based on experience and credentials
PTO, CE stipends, reimbursement for professional dues or certifications, license renewal costs, pet insurance, 401(k) eligibility, with health insurance and full benefits becoming available if/when the role transitions to full-time.
Flexible scheduling, with a path to full-time benefits if the role expands

Ideal Candidate

You are an experienced practice manager or operations leader, veterinary experience preferred but not required, who:

Has 3+ years of experience in practice management, operations management, or healthcare administration
Brings strong attention to detail and operational rigor
Has managed budgets, vendor relationships, inventory, and staff operations
Understands regulatory and compliance basics for a healthcare setting
Leads with warmth and coaching instincts, not just authority
Cares deeply about workplace culture and knows how to build and protect it through change
Is excited about building systems for a growing organization, and bringing genuinely creative ideas to how it's done
