About Alpha Nodus

Alpha Nodus builds healthcare AI. Our platform, Gravity, automates the patient journey for radiology and diagnostic imaging centers: the scheduling, insurance verification, and document work that staff otherwise do by hand.

Position Summary

This role is roughly half office and event operations, half sales and customer support, and both halves start on day one. You'll run the Sunrise office and our trade show presence, and you'll also be on the phone with customers, prospects, and channel partners every week.

If you want a quiet desk and a predictable queue, this isn't the right role. If you want to own outcomes and be in the room when deals and customer relationships are on the line, read on.

Responsibilities

Own trade shows, company events, and multi-week projects from planning through wrap-up, including vendors, contracts, shipping and logistics, travel and hotels, materials, on-site problem solving, working the booth, and the follow-up calls the week after.
Source and secure what the business needs (vendors, service providers, introductions, meetings with hard-to-reach contacts) through research, phone calls, and negotiation, delivering a signed vendor or a confirmed meeting rather than a list of options.
Run day-to-day office administration: supplies, equipment, shipping and receiving, HR and accounting filing, and errands and purchases (personal vehicle required), handling payroll records, contracts, and personnel files with complete discretion.
Reach decision-makers by phone when email has gone quiet, work past gatekeepers, book and reconfirm product demos, and coordinate multi-party scheduling across customers, channel partners, and our internal team.
Chase open quotes, pending proposals, and unsigned contracts to a real answer, phone first and email second, so deals don't stall out through silence.
Run regular check-in calls with channel partner teams so Alpha Nodus stays top of mind for referrals.
Support customers from welcome call through renewal, including collecting credentials, forms, and sign-offs from busy contacts, scheduling onboarding sessions around their availability, running renewal check-ins ahead of the date, and being the calm point of contact when a customer is frustrated.
Secure testimonials, case studies, reviews, and reference calls for prospects.

How We Work

We're an AI company, and we use AI internally for most digital busywork: inbox triage, scheduling drafts, meeting notes, and first-pass research. We don't hire people to do what our own software already does.

We hire for everything software can't touch. Getting a real person on the phone. Driving somewhere and handling a problem in person. Keeping a project with a hundred moving parts from falling apart. Staying on someone until you get an actual answer.

You'll be trained on the AI tools we run the company on, and you'll be expected to use them for research drafts, checklists, correspondence, call prep, and meeting notes, so that your hours go to the work above. One person working this way covers what used to take three. That's why the role is shaped the way it is.

Qualifications

4–6 years of professional experience with a track record of owning outcomes, not just supporting them
Strong phone presence and clear written communication
Demonstrated hands-on comfort with AI tools such as ChatGPT or Claude (we will ask for specific examples in the interview)
Valid driver's license and reliable personal vehicle
Able to work in our Sunrise, FL office daily — this role is physical and in-person and cannot be done remotely
High level of discretion with confidential information

Preferred Qualifications

Background as an office manager or executive assistant at a small company
Event, trade show, or conference coordination experience
Medical or dental practice office management
Real estate transaction coordination or property management
Hospitality management with real vendor and budget ownership
Military administrative or logistics experience
Conversational Spanish
A degree is nice to have; a track record of getting hard things done matters more

Who Tends to Do Well Here

You like phones and you like people. Calling a stranger to negotiate, or to get a decision out of someone who's been dodging you, is the fun part of your day.
Open loops bother you. "I left a voicemail" isn't a status update. "I got them on the phone, here's what they said" is.
You stay steady when the other person isn't. Frustrated customers and vendors who blew a deadline are a normal week, not a crisis.
Nobody has to hand you a manual. Give you an outcome and a date and you'll work out the path.
You're already curious about AI. You don't need to be technical, but if you've never opened an AI tool to solve a real problem on your own, this isn't the right fit.
