Client Service Associate

Job Summary

New City Family Office is seeking a Client Service Associate to support day-to-day client service, account operations, and administrative functions for our high-net-worth client base. This is an operational and administrative role ideal for someone with prior RIA or wirehouse client service who is looking to grow within a boutique family office environment. The role works closely with advisors and custodians to execute trades, process account paperwork, and keep client accounts running smoothly.

Key Responsibilities

Client Service

Serve as a front-line point of contact for client questions regarding account status, transfers, and paperwork.
Prepare and process new account forms, account transfers (ACATs), and beneficiary updates.
Coordinate with custodians (e.g., Schwab, Fidelity, Pershing) to resolve client servicing requests.
Schedule client meetings and prepare supporting materials for advisors.

Client Operations / Trade Execution

Enter and execute client trades and rebalancing instructions accurately and within firm compliance guidelines.
Process money movements including wires, ACH transfers, checks, and internal journal entries.
Monitor trade settlement and resolve discrepancies with custodians or clearing firms.
Maintain accurate records of client instructions, trade confirmations, and account activity.

Administrative Support

Maintain and update CRM records and client files.
Support fee billing calculations and invoicing.
Assist with compliance documentation, recordkeeping, and audit preparation.
Provide general office administration, correspondence, and scheduling support.

Qualifications

1-2 years of experience in client service or operations at an RIA, wirehouse, or broker-dealer (internship experience considered).
Bachelor's degree preferred; equivalent experience will be considered.
Familiarity with custodial platforms (e.g., Schwab Advisor Services, Fidelity WealthAccess, Pershing) is a plus.
SIE, Series 7, or Series 63 licensing is a plus but not required.
Strong attention to detail, organizational skills, and discretion handling confidential client information.
Proficient in Microsoft Office and comfortable learning CRM/portfolio management software (e.g., Salesforce, Redtail, Wealthbox).

Compensation & Benefits

Salary: $55,000-$72,000, commensurate with experience.
