Full Job Description

Overview:

The Project Support Specialist provides foundational administrative and logistical support to the Program Management team, which includes Associate Project Managers, Program Directors, and Executive Leadership. This entry-level position operates fully in-office at our East Hanover, NJ location and assists in preparing event materials, coordinating speaker logistics, maintaining project documentation, and supporting registration and outreach activities for meetings, conferences, and educational initiatives.

Key Responsibilities: Project and Event Support:

Assemble, package, ship, and track event materials and return shipments.
Review and test event websites, registration pages, and evaluation forms for accuracy and functionality.
Manage inventory and coordinate supply orders for event-related materials (e.g., name badges, displays, signage).
Perform data entry tasks such as researching and recording NPI numbers, entering program evaluation data, tracking event attendance, and maintaining accurate records in internal databases.

Administrative and Operational Support:

Assist in the scheduling of internal and external meetings, including planning calls and event debriefs.
Maintain organized digital and physical project files.
Monitor shared inboxes and route communications appropriately.

Speaker and Attendee Coordination:

Assist with booking travel arrangements for speakers (airfare, hotel, transportation) and drafting detailed itineraries.
Collect speaker documentation (W-9s, bios, headshots, disclosures) and ensure timely submission.
Draft and send standardized communications, such as speaker confirmations and attendee reminders.
Support registration management by entering and updating attendee information.

Marketing and Recruitment Support:

Research and compile targeted outreach lists of healthcare providers, hospitals, and academic institutions.
Assist in preparing marketing materials and event promotions in collaboration with Project Management, Creative, and IT teams.

Venue and Conference Logistics Support:

Research venue options for meetings and regional events under the guidance of project leads.
Support logistics for exhibit booth reservations and shipment preparation.

Financial and Reporting Support:

Enter honoraria and expense reimbursement information into internal systems (e.g., Acumatica, QuickBooks).
Organize and track receipts, invoices, and payment requests.
Assist with assembling materials for post-event reports and reconciliations.

Key Success Metrics:

Accuracy and timeliness of project support deliverables.
Organizational quality and completeness of project documentation.
Responsiveness and proactive support to internal team members and external stakeholders.
Contribution to the seamless execution of event logistics and administrative operations.

Required Skills and Experience:

Bachelor’s degree or relevant administrative experience preferred.
Strong attention to detail and ability to manage multiple tasks simultaneously.
Excellent written and verbal communication skills.
Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
Ability to work collaboratively in a deadline-driven environment.
Initiative and self-motivation to follow through on assigned tasks.
