Job Title: Administrative Childcare Assistant – Momentum Early Learning
Reports to: Center Director

Location: Oconomowoc, WI

Job Summary
The Administrative Assistant plays a vital role in supporting the operational management and classrooms of Momentum Early Learning, a licensed childcare facility catering to children aged 6 weeks to 12 years. This full-time position (40+ hours per week) requires a hands-on approach in ensuring the center’s compliance with state and federal regulations while maintaining a positive, safe, and nurturing environment. The Administrative Assistant also assists in the center’s daily operations, supporting teachers and classrooms, and maintaining safety, health, and security standards aligned with our culture.

Our staff consists of passionate, nurturing caregivers committed to interactive and imaginative play, while ensuring a clean, secure, and modern environment for every child.

Primary Responsibilities

Office Duties
Maintaining office cleanliness.
Answering phone calls, providing information to new or current families.
Checking children’s medication each morning to ensure all is up to date.
Keeping inventory of all office supplies.
Completes filing of incident reports, health reports, immunizations, and name to face sheets daily.
Completes weekly tasks designated around the center.
Kitchen/Meal Duties
Oversees inventory of kitchen: snacks, milk, and all serving supplies
Prepare all snacks and lunches for center.
Follows all health laws and standards providing healthy meals. Sets good hygiene standard for staff and children.
Abides by all state licensing requirements and regulations while preparing and serving food.
Staff Support
Leads and motivates staff to achieve operational excellence, emphasizing alignment with the center’s mission and continuous professional development.
Answer phone calls from staff, needing of assistance.
First team member to provide bathroom breaks or step into a classroom as needed.
Promotes a positive, engaging, and collaborative work environment while actively seeking feedback and suggestions for improvement.
Supports teachers in their roles and fills in as needed for childcare duties.
Client Experience and Satisfaction
Builds strong and professional relationships with families through consistent communication and engagement, ensuring satisfaction with services and the environment.
Greet all families during pick up and drop off time. Assist in any questions for parents.
Assists in the planning and execution of parent-focused events and activities.
Facility Maintenance and Safety
Partners with the Director and Maintenance Management to ensure the facility is well-maintained, clean, and safe.
Ensures adherence to safety standards and protocols across the facility.
Collaborate with the leadership team to meet daily cleaning and sanitation requirements.
Additional Duties
Performs other related tasks and responsibilities as assigned.

Qualifications

Education

Preferred: A two- or four-year degree in Early Childhood Education.
Completion of Early Childhood I, II, and Infant/Toddler certifications.
CPR and First Aid Certification.
CAN and AHT Certification.

Experience

Minimum of 5 years of experience in the childcare field, with a preference for prior management or leadership roles.

Physical Requirements

Ability to perform physical tasks, that may require bending, squatting, or other physical movements.
Able to move swiftly to aid children during emergency situations and evacuations.

Pay: $16.00 - $19.00 per hour
