Full Job Description

Front Desk Receptionist

We are seeking a highly organized, detail oriented, and dependable Front Desk Receptionist to support the day-to-day operations of our office. This position combines front desk responsibilities with a significant focus on mail management and distribution. Approximately half of each workday will be dedicated to receiving, sorting, scanning, distributing, and coordinating incoming mail.

The ideal candidate is organized, comfortable working independently, and able to accurately sort and route a high volume of mail with minimal errors. Strong attention to detail and the ability to stay organized while managing multiple requests are essential.

Responsibilities

Manage the daily receipt, sorting, organization, scanning, and distribution of incoming mail
Accurately identify the appropriate department, team, or individual for each piece of mail and ensure timely delivery
Coordinate mail that needs to be routed between multiple departments and teams
Scan and electronically distribute documents and correspondence as needed
Maintain an organized system for tracking and handling mail to ensure items are not misplaced or delayed
Monitor and manage front desk and building entry, including welcoming visitors and directing guests appropriately
Receive and manage incoming packages and deliveries from FedEx, UPS, USPS, and other vendors, ensuring packages are properly received and promptly notifying the appropriate employee or department when deliveries arrive.
Coordinate the ordering and replenishment of general office supplies, ensuring the office has the materials needed for day-to-day operations.
Provide administrative support across the organization, assisting with a variety of office, reception, and administrative tasks as needed.
Take on additional responsibilities and special projects as needed to support the office and organization.
Support executive travel arrangements and other administrative requests
Coordinate and order food for meetings and office events
Provide general administrative and front desk support as needed
Maintain a professional, welcoming, and organized front office environment

Qualifications

Previous experience as a receptionist, front desk, administrative, mailroom, or similar role
Exceptional organizational and attention to detail skills
Strong ability to sort and categorize information accurately with minimal errors
Comfortable handling a high volume of mail and administrative tasks
Able to work independently and take ownership of responsibilities
Strong communication and interpersonal skills
Proficient with standard office technology, email, scanning, and document management systems
Professional, reliable, and responsive
Ability to prioritize tasks and manage competing responsibilities
Bachelor’s degree required. A degree in Business Administration, Communications, or a related field is preferred.
