Full Job Description

Clinical Coordinator – Diagnostic Medical Sonography (DMS) & Cardiac Sonography (DCS)

Department: Diagnostic Medical Sonography & Cardiac Sonography
Reports To: Program Director – DMS/DCS
Employment Type: Full-Time
Location: Anaheim & Hawthorne Campuses (with local travel to clinical sites)

Position Summary

The Clinical Coordinator is responsible for developing, managing, and maintaining clinical education sites for the Diagnostic Medical Sonography (DMS) and Cardiac Sonography (DCS) programs. This position plays a critical, front-line role in securing new clinical affiliation agreements, ensuring student placement, and maintaining full compliance with accreditation, credentialing, and institutional documentation requirements.

This role requires a highly organized, computer-savvy professional with established clinical industry connections who can immediately bring in new clinical contracts and support program growth from day one.

Essential Duties & Responsibilities

Clinical Site Development & Affiliation Management (Primary Responsibility)

Actively identify, develop, and secure new clinical affiliation sites for DMS and DCS programs.
Leverage existing professional relationships to bring new clinical contracts on day one.
Initiate, negotiate, and coordinate clinical affiliation agreements in collaboration with administration.
Maintain ongoing relationships with current clinical partners to ensure continued placement opportunities.
Serve as the primary liaison between the school and clinical sites.
Monitor site capacity and align student placements with enrollment growth.

Student Clinical Placement & Oversight

Coordinate and assign students to approved clinical sites.
Ensure equitable and timely clinical placement for all eligible students.
Monitor student clinical progress, attendance, and performance.
Address clinical site or student issues promptly and professionally.
Support students and clinical instructors with expectations, policies, and communication.

Clinical Documentation & Compliance

Maintain accurate, up-to-date student clinical documentation, including:
Clinical hour logs
Competency records
Evaluations
Timesheets
Compliance forms (HIPAA, OSHA, immunizations, CPR/BLS, etc.)
Ensure all documentation meets:
Program requirements
Institutional policies
Accreditation standards
Credentialing expectations (ARRT, ARDMS)
Utilize digital platforms (Canvas, Orbund, CourseKey, spreadsheets, databases) to track and manage records.
Prepare documentation for audits, site visits, and accreditation reviews.

Collaboration & Program Support

Work closely with the Program Director on:
Enrollment planning
Clinical capacity forecasting
Program expansion strategies
Collaborate with faculty and lab instructors to ensure alignment between didactic, lab, and clinical education.
Participate in advisory committee meetings as needed.
Support continuous program improvement through data tracking and reporting.

Required Qualifications

Minimum 2* years of experience* in:
Diagnostic Medical Sonography and/or Cardiac Sonography clinical education
Clinical coordination, site management, or externship placement
Established professional connections within hospitals, clinics, imaging centers, and cardiovascular practices.
Demonstrated ability to secure new clinical sites and contracts quickly.
Strong understanding of:
Clinical education requirements
Student supervision standards
Accreditation and credentialing expectations
Highly computer-savvy with experience using:
Learning management systems (Canvas or similar)
Clinical tracking systems
Microsoft Office (Excel, Word, Outlook)
Databases and shared drives
Excellent organizational, communication, and problem-solving skills.
Ability to manage multiple priorities in a fast-paced, growing program.

Preferred Qualifications

RDMS, RVT, RCS, or equivalent credential (preferred)
Prior experience working with:
ACCET, CAAHEP, ABHES, ARRT, or ARDMS compliance
Experience supporting expanding programs or high student enrollment
Bilingual (preferred but not required)

Physical & Travel Requirements

Ability to travel locally to clinical sites
Ability to attend meetings at both Anaheim and Hawthorne campuses
Occasional evening or early morning availability to meet clinical site needs

Job Type: Full-time

Pay: $40.00 - $55.00 per hour
