Full Job Description

Job Summary

We are seeking a highly organized and proactive Personal Assistant to provide comprehensive administrative support to senior executives and ensure the smooth operation of daily activities. This role involves managing calendars, coordinating projects, handling confidential information, and facilitating effective communication across teams. The ideal candidate will demonstrate exceptional organizational skills, technical proficiency, and a positive, energetic attitude to help drive productivity and efficiency within our dynamic organization.

Responsibilities

Manage and coordinate complex calendars, schedule meetings, and organize appointments for executives using Microsoft Outlook Calendar and other scheduling tools.
Prepare and edit correspondence, reports, presentations, and other documents with excellent proofreading and writing skills.
Arrange business travel plans, including flights, accommodations, transportation, and itineraries while ensuring cost-effectiveness.
Handle internal communication channels to facilitate seamless information flow across departments.
Organize company events, meetings, and conferences by managing logistics, catering, venue arrangements, and technical setup.
Maintain confidentiality of sensitive information while performing bookkeeping tasks using QuickBooks and managing financial records accurately.
Support project coordination efforts by tracking deadlines, preparing status reports, and collaborating with cross-functional teams.
Oversee office management duties such as filing systems, data entry, multi-line phone systems management, and office supply inventory.
Utilize video conferencing software for virtual meetings and ensure all technical aspects are functioning properly.
Assist with administrative tasks like transcription, managing internal communication tools, proofreading documents, and handling customer service inquiries professionally.

Skills

Proven experience as a Personal Assistant or in an executive administrative support role with strong organizational skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and productivity software; familiarity with Microsoft Outlook Calendar is essential.
Technical proficiency in video conferencing software (e.g., Zoom, Teams) and familiarity with DocuSign for electronic signatures.
Excellent typing speed combined with strong writing skills for correspondence and documentation.
Experience in event planning and organizing corporate events or meetings from start to finish.
Knowledge of bookkeeping practices using QuickBooks or similar accounting software; basic data entry skills are required.
Strong interpersonal skills including phone etiquette and the ability to handle confidential information discreetly.
Ability to manage multiple priorities efficiently while maintaining attention to detail in a fast-paced environment.
Effective collaboration with C-suite executives and team members across various departments to ensure project success.
Exceptional project management skills with the ability to coordinate tasks independently and as part of a team.
