At Bloom Plastic Surgery, we believe the patient experience begins the moment someone contacts our office. We are seeking a warm, polished, and highly organized Front Office Coordinator who takes a hands-on approach to delivering exceptional service and ensuring each patient visit runs smoothly and efficiently.

This is an ideal opportunity for someone who thrives in a fast-paced, team-oriented environment and enjoys creating meaningful patient experiences while confidently guiding patients through their aesthetic journey.

About the Role

This is a part-time Front Office Coordinator position based primarily at our Hinsdale office. As with all of our team members, the candidate must be willing and able to provide coverage at our Chicago Gold Coast office as needed.

This role has the potential to grow into a full-time position for the right candidate based on the needs of the practice and the individual's performance and availability.

Our primary scheduling needs are Wednesdays and Fridays, with additional opportunities for afternoon hours on Mondays, Tuesdays, and Thursdays for candidates interested in additional hours.

The Front Office Coordinator plays a vital role in guiding patients through their visit with professionalism, empathy, and attention to detail. You will serve as a primary point of contact — in person, by phone, and via email — ensuring seamless communication, operational efficiency, and patient confidence.

This role includes an important educational and consultative sales component. The Front Office team provides surgical price ranges and procedure information, as well as non-surgical quotes, helping patients understand their options and next steps with clarity and professionalism.

Previous experience in a fast-paced, customer-focused or sales-focused environment is preferred. Aesthetic or plastic surgery experience is a plus, but not required — we will train the right cultural fit.

Key Responsibilities

Patient Experience & Service

Deliver a high level of personalized customer service
Greet, check in, and check out patients efficiently
Answer phones and manage patient communications promptly
Provide education and information about surgical and non-surgical services
Confidently communicate surgical price ranges and provide non-surgical treatment quotes
Ask patients about their experience, problem-solve when needed, and assist with reviews
Ensure all patient information remains accurate and up to date

Scheduling, Sales & Conversions

Schedule consultations and procedures with precision and attention to detail
Review schedules to optimize provider time, fill openings, and collect deposits
Support consult-to-procedure conversion through professional follow-up and recall management
Manage waitlists and proactive patient outreach
Become knowledgeable about provider preferences, services, pricing structures, and product lines

Administrative & Clinical Support

Process payments and product sales
Perform prior authorizations and insurance benefits verification
Communicate clinical inquiries to medical assistants and providers promptly
Serve as backup for patient photos and rooming
Work proficiently within EMR, PMS, Weave, Google Suite, and other web-based systems

Qualifications

Pay: $20.00 - $21.00 per hour

We operate two locations — Hinsdale and Chicago Gold Coast. This part-time position will be primarily based in Hinsdale; however, team members must be willing and able to work at our Chicago location as needed to provide coverage for vacations, time-off requests, and occasional last-minute scheduling needs. Are you fully available and comfortable traveling to and working from both locations when needed? Please describe any limitations that may impact your flexibility.
At Bloom Plastic Surgery, team members who excel in the Front Office Coordinator role have opportunities to grow within the practice based on their performance, skills, and long-term goals. Potential growth paths may include advancing into a Surgical Patient Coordinator role or transitioning into a Medical Assistant position.

A Surgical Patient Coordinator takes on a deeper role in the patient journey, including surgical consultations, financial coordination, scheduling, and guiding patients through the full surgical experience. A Medical Assistant role provides the opportunity to expand into clinical responsibilities and work more closely with our providers and patients.
