Full Job Description

Employees in this class series perform judicial case processing work supporting the timely and efficient progression of cases through the assigned Delaware court. Work includes applying court and related procedures, practices, and standards to review, prepare, process, and maintain a variety of legal/court documents and records.

Work requires a general knowledge and understanding of the assigned court’s cases, operations, and jurisdiction, as well as laws, rules, regulations, standards, policies, and procedures applicable to case processing activities, to provide information, receive and process documents, and assist with routine inquiries without providing legal advice. Judicial Case Processors regularly interact with the public, often in sensitive and confidential situations. As a result, work requires professionalism, tact, discretion, sound judgement, and strong commitment to customer service when greeting visitors, answering phones, and interacting with court users and internal staff.

As a result, work performed has a direct impact on the public’s experience with the justice system and contributes to the overall effectiveness of court operations, programs, and services. The quality and timeliness of case processing activities support administrative and judicial proceedings and may affect related legal processes, rulings, decisions, and case outcomes.

Essential Functions

Essential functions are fundamental, core functions common to all positions in the class series and are not intended to be an exhaustive list of all job duties for any one position in the class. Prepares and issues a wide variety of court/legal documents and determines the appropriate procedural requirements for processing.
Delivers excellent customer service in person, by phone, or electronically; greets customers and provides information on procedures, services, events, or case status to internal and external stakeholders, judicial officers, court users, justice partners, and members of the public. attorneys, jurors, litigants, court personnel, and the public.
Applies laws, rules, regulations, standards, policies, and procedures relevant to case processing activities.
Reviews, processes, and evaluates case records and documents for completeness, accuracy, eligibility, and compliance with applicable procedures, practices, standards, timelines, and costs.
Researches case files, records, databases, and other sources to resolve discrepancies, errors, or other issues.
Prepares and maintains files and records, ensuring all required documents are included.
Uses automated information systems and computer software to enter, update, modify, delete, retrieve, and report on data.
Attends hearings and proceedings to provide files, records, and case information to the judicial officer; records event dispositions and administers oaths.
May prepare and distribute correspondence, maintain calendars and schedule meetings, hearings, or events; and may compute and collect fees, maintain fiscal records/receipts, or make deposits.
Performs other related duties as required.

Job Requirements

JOB REQUIREMENTS for Judicial Case Processor I

Applicants must have education, training and/or experience demonstrating competence in each of the following areas:

Coursework, training, education, and/or work experience in document processing such as reviewing and evaluating records for completeness and conformity with laws, rules, regulations, standards, policies, and procedures, resolving deficiencies, and tracking and monitoring activities.

Coursework, training, education, and/or work experience in record keeping such as maintaining, filing, tracking, and retrieving physical, electronic, and digital documents, reports, or other information.

Coursework, training, education, and/or work experience in using an automated information system to enter, update, modify, delete, retrieve/inquire and report on data.

Coursework, training, education, and/or work experience in customer service such as providing prompt, accurate, and courteous service to customers seeking information, answering requests as quickly as possible, ensuring customers are satisfied with service, and responding to complaints.

JOB REQUIREMENTS for Judicial Case Processor II

Applicants must have education, training and/or experience demonstrating competence in each of the following areas:

One year of experience in document processing such as reviewing and evaluating records for completeness and conformity with laws, rules, regulations, standards, policies, and procedures, resolving deficiencies, and tracking and monitoring activities.

One year of experience in record keeping such as maintaining, filing, tracking, and retrieving physical, electronic, and digital documents, reports, or other information.

One year of experience in using an automated information system to enter, update, modify, delete, retrieve/inquire and report on data.

One year of experience in applying laws, rules, regulations, standards, policies and procedures.
