Full Job Description

Basic Function:

Receives incoming documents including online applications, transcripts, test scores for prospective students. Completes initial and final processing of applications and coordinates progression of application process. This position handles all enrollment deposits, reimbursement of any overpayments or deposit refunds and supply orders. Provides College phone support and response for admissions email.

Reports to: Director of Communication and Enrollment Operations

Duties and Responsibilities:

Processes all applications and coordinates continuation of process with appropriate parties/offices.
Manages data flow from CRM to SIS.
Serves as primary phone support for the College.
Processes all monies coming into Admissions. Processes deposit refunds.
Manages the admission process for readmit students, internal transfers and students returning from a leave of absence.
Creates acceptance letters for LOA students when notified by Student One Stop.
Prepares files of new incoming students for permanent filing in academic affairs. Checks accuracy of computer records. Follows up with newly enrolled students who have incomplete files. Creates program enrollment records for new incoming students. Provides Residence Life and Student Accounts with information about expected new students.
Maintains file of documents received for non-applicants and maintains general office files.
Processes postal mail.
Serves as back-up representative handling Admission Office email.
Maintains supplies for the office
Assists Office of Academic Records regarding sports eligibility as needed.
Assists with on-campus recruiting events
Composes and submits computer services requests as needed/requested and designs forms as needed for use in assigned projects. Keeps supplies of needed forms on hand.
Creates, runs, corrects and stuffs inquiry letters when necessary and performs other duties as requested.
Performs other duties as assigned by the Director of Communication and Enrollment Operations.

Performance Standards:

Performs assigned responsibilities in an accurate, timely and effective manner with minimal supervision and meets established timelines for special assignments.
Understands JRM/J1 database in relation to table building/maintenance.
Exhibits requisite skills and knowledge and an appreciation for confidentiality.
Makes positive contributions to effective teamwork within the work unit and with other college departments.
Strives for excellence in performance of responsibilities and in meeting needs of clients/students served.
Knows and observes college and departmental policies, guidelines and procedures.
Knows and observes office policies and procedures.

Qualifications:

High school graduation plus at least two years of related experience, or equivalent combination of education and experience.
Excellent organizational skills, with ability to prioritize and flexibility to handle multiple tasks.
Meticulous attention to detail.
Good computer skills, with experience using Microsoft Office highly desirable.
Evidence of good typing and proofreading skills.
Excellent customer service and communications skills.
