Full Job Description

Eastern Electrical is seeking an organized, dependable, and systems-minded Office Manager to lead our administrative function and help keep the company operating efficiently and professionally.

This is a hands-on role responsible for maintaining administrative systems, company records, document control, workflow coordination, office operations, and follow-up. The ideal candidate is highly organized, communicates well, takes ownership, and enjoys creating structure and improving processes.

Key Responsibilities:

Manage daily office operations, administrative requests, records, and follow-up.
Maintain EEC’s controlled documents, templates, policies, forms, and Company Playbook.
Coordinate employee onboarding, personnel documentation, training records, status changes, and separations.
Administer purchasing and vendor documentation, including purchase requests, vendor setup, W-9s, certificates of insurance, and related records.
Support administration of the company Ramp card program, including documentation, audits, and follow-up.
Provide administrative support for projects, field operations, project startup, document routing, and closeout.
Maintain administrative records for company vehicles, drivers, tools, equipment, and related compliance items.
Support safety and compliance recordkeeping, training documentation, credentials, and expiration tracking.
Maintain administrative KPIs, open-action tracking, and management reporting.
Identify recurring administrative problems and recommend practical improvements to workflows, forms, checklists, and systems.
Coordinate with Executive Leadership, Project Management, Estimating, Operations, Safety/HR, Fleet, and Finance/Accounting.

Qualifications:

Experience in office management, administrative coordination, records management, document control, or a similar operational role.
Strong proficiency with Microsoft 365, including Word, Excel, Teams, SharePoint, and Outlook.
Excellent organization, follow-through, and attention to detail.
Strong written and verbal communication skills.
Ability to manage multiple priorities and meet deadlines.
Ability to create and maintain organized files, logs, schedules, forms, checklists, and reports.
Ability to work with confidential information professionally and appropriately.
Experience in construction, industrial services, project administration, purchasing, fleet, safety administration, or a similar environment is preferred.
