Our busy and warm Acupuncture and Herbal Medicine practice is growing, and we’re looking for 2 part-time Receptionist / Patient Support team members!
This role combines front desk reception with hands-on clinic support, including preparing treatment rooms, mixing herbal formulas, and helping the clinic run smoothly. We’re looking for people with great people skills and attention to detail who enjoy a fast-paced yet calm and caring environment. We are hiring for two part-time positions:
- 2 shifts per week—approximately 12 hours/week
- shifts per week—approximately 16-18 hours/week
Schedule: Our shifts are generally about 6 hours long, although some may start out shorter and grow to 6 hours. Below are the shifts we typically staff so you can get a sense of whether your availability might be a good fit. You would work the same 2 or 3 shifts consistently:
- Monday: 8:30–2:30 or 1:15–7:15
- Tuesday: 8:30–2:30
- Wednesday: 8:30–2:30 or 1:15–7:15
- Thursday: 11:30–5:30 or 1:15–7:15
- Friday: 8:30–2:30 or 11:30–5:30
As our practice grows, there may also be opportunities to cover additional shifts or make some adjustments to hours. The core schedule will remain approximately 12 hours/week for one position and 16-18 hours/week for the other.
Pay: $22-24/hr

Duties—Our clinic can be lively at times, so we’re looking for someone who enjoys staying organized and helping things run smoothly in a busy environment:
- Warmly greeting and checking in patients—helping create a calm, welcoming experience for people who may arrive in pain or nervous about treatment.
- Preparing treatment rooms between patients—moving around the clinic throughout the shift, including light bending. Stocking the rooms with clean laundry, needles, and other acupuncture supplies.
- Supporting clinic flow so patients are seen on time.
- Scheduling patient appointments and reiterating the details of their treatment plan while following our scheduling protocols.
- Preparing herbal, supplement, and topical prescriptions—including mixing custom herbal formulas (training provided)—and explaining directions for safe and effective use.
- Applying your excellent customer service skills while answering the phone, providing general information on acupuncture and our practice, and checking and responding to emails, voicemails, and faxes in a timely manner.
- Processing patient payments.
- Communicating with our billers and patients about worker’s comp insurance (we will train you).
- Assisting with ordering and stocking.
- Maintaining housekeeping needs of the clinic, including laundry, sanitizing treatment cups, recycling/compost/garbage, cleaning and vacuuming, maintaining air purifiers and heat lamps, tidying the office.
- Keeping our technology humming along, troubleshooting issues or concerns with: scheduling software, internet, music app and speakers, phones, payment processing, etc.
- Communicating with staff about patient needs, treatment plans, and clinic needs.
- Ensuring patients get the best care possible, outside of the treatment room. We take pride in running a thoughtful, well-organized clinic where patients feel cared for and staff support each other. The front desk plays a central role in making that happen.
Skills:
- Amazing people skills—this is a customer service position first and foremost. You genuinely enjoy helping people and making them feel welcome, comfortable, and cared for.
- Strong attention to detail. You naturally notice when something is off and double-check your work. You can move quickly without getting sloppy and follow our clinic procedures, even when several things are happening at once.
- Enjoy mastering technology and learning new systems. You enjoy figuring things out, troubleshooting when needed, and keeping our clinic’s scheduling and communication tools running smoothly. If technology makes you nervous or frustrated this is not the right fit for you. Some of the tech: Apple/Mac computers & iPads, Jane App electronic health record (EHR) software for scheduling, payments, & reporting (we will train you), Gmail, Google Drive, Google Business Suite, Microsoft Word & Excel, VOIP telephone.
- A “quick study”—you are a bright, smart, observant person.
- Scheduling is your jam. You love good scheduling software, getting patients off the waitlist, and finding ways to help patients get the treatments they want so we can fulfill our commitment to help them.
- You like being the hub of a fast-paced, cheerful clinic—keeping things organized and prioritizing while multiple things are happening at once, working independently yet connected to and in service to the team and patients, taking initiative and finding solutions.
- Great communication skills—you are a proactive communicator and are committed to a “more communication is always better” ethos.
- Emotional maturity, and the willingness and ability to be a team player. You get that healthy relationships are important. We practice systems to cultivate this as a team because we are human beings after all. Our clinic has a supportive team culture, and we take pride in creating a positive environment for both patients and staff.
- Highly reliable with strong attendance. Because we are a small clinic and patients rely on us for their care, it’s important that the front desk team shows up consistently and on time for scheduled shifts.
- Excited about holistic health—making the world a better place, one acupuncture treatment, herbal formula, and patient interaction at a time.
- Ideally, you’ve worked in a high-performance environment (medical, legal, veterinary, high end hospitality, retail, food service, fitness, etc.) and you want to bring that level of customer service to an upbeat office where patients love coming for their appointments and staff support and raise each other up.
