Full Job Description

Overview
The Business Administrator serves as the primary manager of all financial and administrative operations at Highland Presbyterian Church.

Essential Responsibilities Include:

Financial Management & Accounting

Maintain and oversee all bookkeeping and accounting activities, including contribution posting, data entry, account maintenance, and general ledger accuracy.
Process accounts payable, review incoming transactions, and ensure proper documentation and approvals.
Prepare payroll information for submission to payroll service, and review payroll service reports.
Prepare and distribute monthly financial statements to staff and leadership; assist the Treasurer with financial analysis and reporting.
Perform timely bank reconciliations and maintain secure records of all financial documents.
Produce quarterly and annual contribution statements; respond to member inquiries regarding giving records with confidentiality and care.

Compliance, Audit & Year-End

Manage year-end close processes and coordinate the annual financial review with external accountants.
Ensure timely submission of all regulatory and compliance filings, including semi-annual sales tax refund applications.

Budgeting & Financial Strategy

Partner with the Finance Committee and ministry leaders to develop, review, and administer the annual operating budget.
Provide financial guidance and data to support stewardship initiatives and other fundraising activities.
Monitor budget performance and proactively communicate variances, trends, and concerns to the Treasurer and Finance Committee.

Administrative & Committee Support

Support committees with business operations, including Memorial Garden record management and plaque/niche coordination.
Request bids for facility projects and ensure that leadership is kept informed of progress, concerns, and completion status.
Participate in monthly Finance Committee meetings, offering reporting, analysis, and recommendations.
Maintain confidential records and promote sound internal controls and stewardship standards throughout the church.

Qualifications

Minimum 2–5 years’ experience in bookkeeping and accounting.
Familiarity with Automated Church Systems (ACS) or other church database software preferred.
Proficient in use of MS Word, Excel, and Outlook.
Non-profit accounting experience a plus.
Education – minimum high school degree, financial or accounting degree a plus.

Specific weekly hours and schedule TBD with some flexibility.

Pay: $40,000.00 - $44,000.00 per year
