Join Our Team as an ABA Operations Coordinator!

Are you highly organized, detail-oriented, and passionate about making a difference behind the scenes? Innovative Behavior Management is seeking an ABA Operations Coordinator to support the daily administrative operations of our growing, BCBA-owned ABA practice.

This is a key role that helps ensure our clients, families, and clinical team receive exceptional support through efficient scheduling, credentialing, client onboarding, and quality assurance.

Position Summary

The ABA Operations Coordinator is responsible for coordinating essential administrative functions that keep our clinic running efficiently. This individual serves as the central point of coordination between families, providers, insurance companies, and the clinical leadership team.

Primary Responsibilities

Client Intake & Onboarding

Coordinate new client intake from initial inquiry through admission.
Verify insurance eligibility and obtain required documentation.
Schedule assessments and orientation appointments.
Maintain accurate client records and onboarding checklists.
Communicate with families regarding the intake process.

Credentialing & Provider Enrollment

Track provider credentialing and recredentialing with commercial and Medicaid payers.
Maintain CAQH profiles and provider documentation.
Monitor license, certification, and credential expiration dates.
Submit enrollment applications and follow up with insurance companies.
Maintain credentialing databases and reports.

Scheduling Coordination

Develop and maintain client and staff schedules.
Coordinate schedule changes, cancellations, and coverage.
Monitor therapist productivity and billable hours.
Optimize schedules to maximize authorized services and clinic efficiency.
Communicate schedule updates with staff and families.

Quality Assurance & Compliance

Perform routine chart audits for completeness and compliance.
Track authorizations, treatment plans, reassessments, and required documentation.
Monitor internal quality assurance checklists.
Assist with accreditation and compliance initiatives.
Prepare reports for leadership regarding operational metrics.

Administrative Operations

Maintain electronic records and documentation.
Assist with office procedures and workflow improvements.
Support front office operations as needed.
Collaborate closely with the Clinical Director and leadership team.
Complete additional administrative projects as assigned.

Qualifications

Associate's or Bachelor's degree preferred.
Minimum of 2 years of healthcare or ABA administrative experience preferred.
Experience with insurance verification, credentialing, scheduling, or medical office operations strongly preferred.
Excellent organizational and time-management skills.
Strong attention to detail and ability to manage multiple priorities.
Proficiency with Microsoft Office and Google Workspace.
Experience with ABA practice management software (such as CentralReach) is a plus.
Excellent written and verbal communication skills.
Ability to maintain confidentiality and professionalism.
