THE ORGANIZATION
As a leading theological seminary in the Anglican tradition, Nashotah House has formed Christian leaders to serve the Church and spread the Gospel since 1842. Our lakeside campus is located in Nashotah, Wisconsin, situated between the metros of Milwaukee and Madison. We deliver our academic programs through three educational contexts: a fully residential program, a hybrid-distance program, and an advanced degree program for professionals seeking additional professional development. All our academic programs are rooted in a classical education approach, equipping seminarians with a deep and comprehensive understanding of Christian tradition and with the practical tools needed to lead congregations.
THE POSITION
The Bookkeeper and Operations Assistant supports the financial and operational functions of the organization. This position serves both our campus community (students, faculty, staff, and their families) and seminary guests. The position reports to and supports the Director of Finance and the Sr. Director of Community Life and Operations. This position requires a willingness to be flexible, capacity to assist with a variety of tasks and responsibilities as needed, and outstanding attention to detail.
Essential Job Duties and Responsibilities:
Bookkeeping
- Assist with general bookkeeping tasks; creating invoices, processing bills, recording payments, tracking expenses, assisting with simple reconciliations of accounts at month’s end.
- Review incoming mail and begin processing accounts payable, entering bills into the AP system and helping track payment due dates.
- Create invoices for housing and facility use and tracking payments.
- Process incoming checks and prepare/make deposits
- Print/track receipts for all incoming electronic funds
- Post payments to accounts receivable and tracking past due accounts
- Assist Bursar with processing of student financial aid
- Other duties as assigned by the Director of Finance
Operations
- Maintain the facilities use calendar
- Facilitate requests for on-campus housing, seminary events and programming, and external space rentals
- Liaise with Academic Affairs, Advancement, and the Dean’s Office regarding special guest visits
- Coordinate with Housekeeping regarding space availability and usage
- Facilitate the operations of the Nashotah House Cemetery, including reservations, payments, and scheduling of services
- Be responsible for inventory and ordering of office supplies
- Assist with hospitality opportunities and special events
- Other duties as assigned by the Sr. Director of Community Life and Operations, including occasional or seasonal projects
Qualifications:
Education
- Bachelor’s degree required; Accounting or Business Administration preferred.
Experience
- 3+ years experience with bookkeeping/accounting is required.

- Warm and professional written and verbal communication with the ability to extend hospitality towards community members and guests
- Proficiency in Google Workshop and/or Microsoft Office Suite, with particular emphasis on Google Sheets and Microsoft Excel
- Familiarity with online AR/AP platforms (e.g. Bill.com, QBO, Paypal, Square) and database management
- Availability to be on campus not less than 3 days per week with a preference for 5 days per week on campus.
- Ability to lift 30 lbs and do stairs
Work Environment:
This role is primarily based on-site at Nashotah House. Some remote work may be available on a limited basis with preapproval.
Work is generally expected to be completed during regular business hours. The Bookkeeper and Operations Assistant will occasionally need to work outside regular business hours to accommodate meetings or events. Any work done outside of regular work hours must be preapproved.
