Office Manager

Job Title: Office Manager
Reports To: General Manager / Company Owner
Location: Solon Springs, Wisconsin
Employment Type: Full-Time
Industry: Custom Manufacturing – Underground Utility Products

Position Summary

The Office Manager is responsible for coordinating and supporting the day-to-day administrative, customer service, accounting, and office operations of a small, privately owned manufacturing company specializing in custom underground utility products.

This position serves as a key point of contact for customers, vendors, employees, and company leadership. The Office Manager helps ensure that orders are accurately processed, communications are timely, records are maintained, invoices and payments are properly handled, and the office operates in an organized and professional manner.

Because this is a small company, the successful candidate must be comfortable wearing multiple hats, taking initiative, prioritizing competing responsibilities, and working closely with all members of the team.

Essential Duties and Responsibilities

Office Administration

Manage the daily administrative operations of the office.
Answer and direct incoming phone calls, emails, and other inquiries.
Maintain organized electronic and paper files.
Prepare, format, distribute, and maintain company correspondence, forms, reports, and other documents.
Order and maintain office supplies and equipment.
Coordinate mail, shipping documents, and other routine office communications.

Customer Service and Order Support

Receive and process customer orders, purchase orders, and related documentation.
Enter and maintain customer and order information accurately in company systems.
Communicate order status, expected completion dates, shipping information, and other updates to customers.
Maintain accurate customer records and documentation.

Accounting and Financial Administration

Assist with accounts receivable and accounts payable activities.
Prepare and issue customer invoices.
Review vendor invoices for accuracy and proper approval.
Enter bills and invoices into the appropriate accounting system.
Assist with check preparation, electronic payments, and other routine financial transactions.
Reconcile company credit card and other financial activity as assigned.
Maintain accurate financial records and supporting documentation.
Handle financial information with a high degree of confidentiality and accuracy.

Purchasing and Vendor Coordination

Prepare and process purchase orders as needed.
Track orders and follow up with vendors regarding delivery dates and shortages.
Maintain accurate vendor records and contact information.

Production and Shipping Support

Assist with the administrative processing of production orders.
Prepare or distribute work orders, packing lists, shipping documents, and related paperwork.
Coordinate with production personnel regarding order information, customer requirements, and completion status.
Assist with arranging shipments and coordinating freight or delivery requirements.
Communicate shipment details and tracking information to customers when appropriate.
Maintain accurate records related to production, shipping, and completed orders.

Human Resources and Employee Administration

Assist with new-hire paperwork and onboarding administration.
Maintain employee records and personnel documentation in accordance with company policies.
Assist with timekeeping, payroll preparation, and submission of payroll information as assigned.
Track employee vacation, PTO, and other time-off records.
Support administration of benefits and employee-related programs as directed.
Maintain confidentiality of employee information.

Records, Compliance, and General Support

Maintain accurate and organized business records.
Assist with maintaining required licenses, registrations, certificates, and other company documentation.
Support safety, quality, and other company recordkeeping requirements.

Qualifications

Required Qualifications

High school diploma or equivalent.
Previous experience in office administration, customer service, accounting support, manufacturing administration, or a related field.
Strong organizational and time-management skills.
Excellent attention to detail and accuracy.
Strong written and verbal communication skills.
Professional and courteous customer service skills.
Ability to prioritize and manage multiple tasks in a small-business environment.
Ability to work independently with limited supervision.
Proficiency with Microsoft Office, including Outlook, Word, and Excel.
Ability to learn and effectively use company-specific software and systems.
Ability to maintain confidentiality of sensitive company, customer, employee, and financial information.
