Full Job Description

ew York Medical & Diagnostic Center is seeking a professional, dependable, and patient-focused Front Desk Healthcare Receptionist to join our multidisciplinary healthcare practice.

This is a hybrid position combining front-desk administrative responsibilities with hands-on clinical support. The ideal candidate will be organized, flexible, attentive to detail, comfortable working in a fast-paced medical environment, and committed to providing an excellent patient experience.

The employee must be able to transition efficiently between administrative and clinical responsibilities based on the daily needs of the practice.

Office Hours and Availability

Candidates must have the flexibility to work during the practice’s operating hours:

Monday: 8:45 a.m.–7:00 p.m.
Tuesday: 8:45 a.m.–7:00 p.m.
Wednesday: 8:45 a.m.–7:00 p.m.
Thursday: 8:45 a.m.–7:00 p.m.
Friday: 8:45 a.m.–2:00 p.m.
Saturday: 8:45 a.m.–1:00 p.m.
Sunday: Closed

The selected candidate must be available for scheduling within these hours, including evenings and Saturdays when assigned. Specific workdays and shifts will be determined by the practice’s staffing and operational needs.

Front Desk and Administrative Responsibilities

Welcome patients and visitors in a courteous, professional, and helpful manner.
Check patients in and out accurately and efficiently.
Answer, screen, and route incoming telephone calls.
Schedule, confirm, reschedule, and cancel patient appointments.
Coordinate appointments for multiple providers, specialties, and services.
Collect and verify patient demographic, insurance, and contact information.
Enter and update information accurately in the electronic health record and practice-management systems.
Verify that required patient forms, referrals, authorizations, and supporting documents are complete.
Communicate appointment instructions, office policies, and general information clearly to patients.
Collect copayments, deductibles, coinsurance, and other patient balances when assigned.
Issue receipts and maintain accurate payment documentation.
Scan, upload, file, and organize medical and administrative documents.
Process incoming and outgoing correspondence, faxes, medical records, and patient requests.
Notify the appropriate staff member of urgent patient concerns or time-sensitive messages.
Maintain a clean, organized, and professional reception area.
Protect patient confidentiality and handle sensitive information appropriately.
Assist with additional administrative and clerical assignments as needed.

Medical Assistant Responsibilities

Under the direction and supervision of a physician or other appropriately licensed healthcare provider, responsibilities may include:

Obtain and document patients’ medical histories.
Prepare patients for examinations and procedures.
Explain examination and treatment procedures to patients within the scope of the position.

Qualifications

High school diploma or equivalent required.
Completion of a medical-assistant training program strongly preferred.
Prior experience in a medical office, outpatient facility, physician practice, urgent-care center, or multidisciplinary healthcare environment preferred.
Previous front-desk, medical-receptionist, or patient-services experience preferred.
Experience using electronic health record and practice-management software preferred.
Knowledge of medical terminology preferred.
Experience with insurance verification, referrals, authorizations, and patient scheduling is a plus.
Current Basic Life Support or CPR certification preferred and may be required for assigned clinical duties.
Current vaccination-related training or certification may be required before administering immunizations.
Must demonstrate competency before independently performing delegated clinical tasks.
Bilingual ability is a plus.

Physical Requirements

Ability to remain seated or standing for extended periods.
Ability to move between the reception area, examination rooms, and other departments throughout the workday.
Ability to use a computer, telephone, scanner, printer, and other standard office equipment.
Ability to assist with routine patient preparation and clinical-support activities.
Ability to lift and carry routine office or medical supplies, consistent with the essential functions of the position.
Ability to use appropriate personal protective equipment and follow infection-control precautions.
