Established Financial Planner seeks to expand her team with a part-time Client Relations Associate to join her Director of Operations and Practice Administrator. We are passionate about helping clients make informed financial decisions with confidence and clarity. Through our financial planning process, we empower individuals and families by providing knowledge, guidance and support in collaboration with their other professional partners. Key Responsibilities

Client Service & Relationship Management

Serve at the primary point of contact with clients and other professionals in our Worcester Office by greeting visitors, answering phone calls, monitoring and responding to emails.
Take responsibility for scheduling meetings and assisting with preparation and follow-up.
Design, monitor and implement the client service model, ensuring that review meetings and other important touch points are executed in a timely manner. Other touch points include birthday cards, sympathy cards, client appreciation gifts, invitations to events and seminars, etc.
Manage all client service requests including address and beneficiary changes, adding connections to bank accounts, etc.
Maintain client records and files (both paper and digital) ensuring that documentation meets compliance standards and CRM is kept up to date.
Manage and update client segmentation.

Marketing & Communication Support

In collaboration with the advisor, create and implement an annual marketing plan.
Managing advisor’s social media accounts, newsletters, press releases and web presence.
Design, organize, and run client events and seminars.
Identify events for advisor speaking opportunities.

Office Administration & Coordination

Ensure the smooth and efficient day-to-day operation of the office by managing administrative systems, workflows, and facilities.
Oversee office resources (supplies, equipment, vendors) to maintain a well-functioning, cost-effective workplace.
Strictly adhere to all compliance procedures for office operations, marketing initiatives, communications and events.

Qualifications

2+ years of experience in office administration or client service
Bachelor's Degree preferred
Ability to maintain the highest level of discretion and privacy
Excellent written and verbal communications skills
Strong interpersonal and client servicing skills
Demonstrated organizational and time management skills
Ability to work well under pressure while managing multiple priorities and deadlines
Acute attention to detail
Proficiency with MS Office (Word, Excel and Outlook) and in CRM software applications
Financial Services industry experience preferred but not required

Work Environment & Schedule

Part-time position with a consistent schedule to be agreed upon.
20-25 hours per week.
Occasional flexibility may be required for client events.
