TITLE:Administrative Secretary: Student Services Office

TYPE OF POSITION:Full-time (1.0), anticipated 9/8/2026 start; salary commensurate with experience (range $26.09-$35.40/hour)

LOCATION:District, Hopkinton, Massachusetts

AREA OF CONSIDERATION:All qualified candidates

This is the position of Administrative Secretary: Student Services Office. The incumbent serves as the Director of Student Services administrative special education and Title 504 support person. The incumbent also serves as a resource for the team meeting process, and Individual Education Plan (IEP) and 504 records management districtwide, and also works with the Bureau of Special Education Appeals (BSEA) on IEP-related matters, as necessary. The Administrative Secretary ensures confidentiality and compliance with regulations and policies related to special education. The Administrative Secretary reports to the Director of Student Services.

DUTIES:

Duties include, but are not limited to:

Oversees and ensures the effective utilization of the special education module being used by the district (E-SpEd, PowerSchool Special Programs such as P-SpEd), for all users. Collaborates with staff and technology to manage outstanding issues with the P-SpEd database. Trains staff as needed in use of P-SpEd;
Responsible for mandated state reporting and Tiered Focused Monitoring (TFM) submissions;
Arranges specialized transportation with vendors for eligible students in and out-of-district. Maintains transportation rosters and secures contracts with transportation vendors;
Responsible for processing McKinney-VentoHomeless Assistance Actreferrals, to determine eligibility. Collaborates with the District Social Worker, Director of English Language Acquisition, and Guidance Counselors, as needed;
Arranges and tracks all translation services for Special Education students, as needed;
Processes all requests for home/hospital tutoring. Arranges tutors, acts as liaisons for tutoring services, and provides Guidance Counselors with tutoring summaries. Maintains logs and temporary files of home/hospital students receiving instruction;
Supports the Extended School Year (ESY) Coordinator annually with communication, enrollment, tracking, and transportation of students participating in the ESY program;
Acts as Random Moment Time Study (RMTS) Coordinator for school-based Medicaid program. Responsible for communications and updates regarding the program, updating staff and student changes as necessary, and working with the vendor on updates and training for staff on both RMTS and direct billing procedures. Collects parent consent and works with staff to incorporate consent forms into the registration process;
Assists with maintaining the roster of Out-of-District (OOD) students, updating the system to reflect changes in school placement for the OOD Coordinator, and monitors monthly attendance. Assists with Circuit breaker as needed;
Annually sends out Child Find Outreach to the community, including private schools, day care facilities, and medical offices;
Tracks privately placed and home-schooled special education students requiring affirmation;
Engages in ongoing communication with parents, staff, and administrators. Assists with School messenger communications and website updates, as needed;
Other duties as required.

QUALIFICATIONS:

To be considered qualified for the position ofAdministrative Secretary, Student Services Office, candidates must have/be:

High school diploma or general education degree (GED), Bachelors degree in a related field preferred;
Skill in operating a personal computer and extensive experience with office software, such as the Microsoft Office suite;
Ability to communicate clearly and effectively, both orally and in writing;
Ability to apply knowledge, skills, abilities and experience to independently manage projects or segments of projects;
Ability to independently deal with problems involving abstract variables in various situations;
Such alternatives to the above qualifications as the supervisor(s) may find appropriate and in conformity with state and federal requirements.
