Full Job Description

Job Summary

The Office Manager is responsible for overseeing the day-to-day administrative operations of Thrive Advanced Care, ensuring the clinic runs efficiently while delivering exceptional service to clients and families. This position serves as the central point of coordination for office operations, client intake, scheduling, insurance authorizations, billing support, human resources administration, compliance, and front-office customer service.

Working closely with the clinical team and executive leadership, the Office Manager develops and maintains efficient workflows, supports staff, and ensures administrative processes align with company policies and regulatory requirements. The ideal candidate is highly organized, detail-oriented, proactive, and committed to creating a welcoming, professional environment while promoting operational excellence and supporting the delivery of high-quality ABA services.

Duties

· Oversee day-to-day office operations and administrative workflow.

· Manage front desk operations and ensure excellent customer service.

· Answer phones, respond to emails, greet families and visitors.

· Coordinate client intake, onboarding, scheduling, and waitlists.

· Verify insurance benefits and obtain prior authorizations.

· Track authorization utilization and renewals.

· Support billing by ensuring documentation is complete and assisting with claims and payments.

· Maintain client records and ensure HIPAA compliance.

· Order office supplies and coordinate vendors and facility maintenance.

· Support BCBAs and RBTs with scheduling and administrative needs.

· Coordinate interviews, onboarding, personnel files, and credential tracking.

· Assist with payroll documentation and employee scheduling.

· Maintain office technology and EMR records.

· Prepare reports for leadership on scheduling, authorizations, referrals, and office performance.

· Support community outreach, referral relationships, and marketing initiatives.

· Identify workflow improvements and implement administrative best practices.

· Perform additional administrative duties and special projects as assigned.

Requirements

Associate's or Bachelor's degree preferred in Business, Healthcare Administration, or related field.
Minimum of 2 years of office management or healthcare administrative experience.
RBT experience preferred but not required
Excellent organizational and communication skills.
Strong customer service and problem-solving abilities.
Ability to manage multiple responsibilities efficiently with excellent time management skills.
Proficiency in Microsoft Office, Google Workspace, and office technology.
Experience with EMR systems preferred.
ABA, behavioral health, or medical office experience preferred.
Knowledge of insurance verification, authorizations, and medical billing preferred.
