The Patient Coordinator is the first point of contact for patients and plays an essential role in creating a warm, welcoming, and professional experience. This position is responsible for greeting patients, answering phones, managing the check-in process, supporting scheduling and recall, and assisting with day-to-day administrative tasks that keep the practice running smoothly.

Key Responsibilities:
Patient Experience & Front Desk Support
Greet patients on arrival, ensure they feel welcomed, and check them in for appointments.
Answer incoming calls promptly and professionally; route calls and messages accurately.
Maintain a clean, organized, and patient-friendly reception area.
Assist patients with necessary forms, updates, and office policies.
Support the team by communicating patient needs or concerns promptly.
Check patients in and verify necessary demographics and insurance information.
Answer phone calls quickly and professionally.
Schedule, Recall & Workflow Efficiency
Schedule new and returning patient appointments while optimizing provider schedules.
Own the recall system—contact patients overdue for hygiene appointments, follow up on pending treatment, and maintain accurate recall records.
Confirm appointments and manage reschedules or cancellations to minimize no-shows.
Monitor daily schedule flow and notify the team of changes or delays.
Administrative Support
Enter and update patient information accurately in the practice management system.
Assist with scanning documents, uploading insurance cards, and maintaining electronic patient files.
Support insurance verification processes by gathering required information during check-in.
Communicate effectively with the Office Manager regarding scheduling issues, patient concerns, or workflow updates.
Support the front office team with various administrative duties as assigned.
Minimum Qualifications:
High school diploma or equivalent.
Strong communication and customer service skills.
Basic understanding of scheduling, recall, and patient flow in a dental or medical setting.
Ability to multitask in a fast-paced environment while maintaining professionalism.
Computer proficiency and familiarity with digital scheduling systems.
Ability to maintain patient confidentiality and follow HIPAA requirements.
Preferred
Previous experience in a dental or medical front office.
Knowledge of dental terminology and/or dental insurance basics.
Experience with dental software (Dentrix, EagleSoft, Open Dental, etc.).

30 – 40 hours per week
