Job Title: Front Desk

BALANCE Eating Disorder Treatment Center, a premium outpatient eating disorder treatment center in Manhattan, is seeking a warm, organized, and highly motivated Front Desk Coordinator to join our expanding team!

BALANCE has a 14-year legacy of transforming lives by promoting health, healing, and hope to our clients and their families. We serve adolescents and adults of all genders, providing outpatient levels of care. Our mission is to create a transformative therapeutic experience through individualized care and our nutritional philosophy of intuitive eating using the All Foods Fit Model.

The Position

The Front Desk Coordinator serves as an important first point of contact for clients, families, visitors, and staff. This role supports the smooth day-to-day operations of the treatment center while creating a welcoming, organized, and professional environment.

The ideal candidate is personable, dependable, detail-oriented, comfortable working in a fast-paced environment, and able to communicate professionally with both clients and staff.

Responsibilities:

· Greet clients, families, visitors, and staff in a warm and professional manner

· Manage the front desk and assist with daily office operations

· Answer and direct emails, and general inquiries

· Communicate with clients regarding attendance, scheduling, and virtual vs. in-person appointments

· Assist with scheduling meetings, appointments, and room bookings

· Maintain the appearance and organization of the waiting area, group rooms, dining room, kitchen, and common areas

· Monitor and maintain office, cleaning, and program supplies

· Communicate with clients regarding attendance/and virtual vs. in person schedules

· Assist with inventory and notify management when supplies need to be replenished

· Receive and distribute mail, packages, and deliveries

· Assist with printing, scanning, copying, and organizing documents

· Upload client records and faxes to the EMR system as needed

· Assist with collecting and organizing client forms and assessments

· Support staff with administrative and operational needs throughout the day

· Assist with client attendance tracking and related communication

· Help maintain a welcoming and organized environment for clients receiving treatment

· Support onboarding and offboarding tasks as needed

· Assist with facility vendors, catering, cleaning, and general office needs

· Follow BALANCE policies and procedures, including maintaining client confidentiality

· Support compliance with applicable OMH and Joint Commission standards

· Provide general administrative support to the CEO, HR, Operations, and clinical teams as needed

· Take initiative in identifying ways to improve the day-to-day functioning of the office

Who You Are:

Bachelor’s degree in Business Administration or relevant field, preferred
2-3 years Office/ Administrative experience in a healthcare setting
Knowledge of OMH and/ or Joint Commission policies and procedures a PLUS
Strong attention to detail
Dynamic, flexible, team player, initiative taker
Eager to grow with a quickly expanding company
Passionate about eating disorders prevention and intervention

Pay: $20.00 - $22.00 per hour
