Accounts Payable & Purchasing Specialist

Location: Trenton, NJ (100% On-Site)
Job Type: Full-Time, Direct Hire
Salary: $70,000 – $80,000 / year (Commensurate with experience)

About the Role

Are you a detail-obsessed professional who seamlessly bridges the gap between supply chain operations and corporate finance?

A growing, dynamic organization in the Trenton area is looking for a versatile Accounts Payable & Purchasing Specialist. In this high-impact, dual-function role, you will own the end-to-end Procure-to-Pay (P2P) pipeline. You’ll be the central hub connecting vendors, warehouse inventory, and our finance team—ensuring orders flow seamlessly, inventory is tracked accurately, and vendor accounts are impeccably maintained.

Key Responsibilities

1. End-to-End Procure-to-Pay (P2P)

Manage the complete purchasing lifecycle: generate, issue, track, and reconcile Purchase Orders (POs) through receipt and final vendor payment.
Own Accounts Payable processing, executing strict 3-way matching (PO, receiving report, vendor invoice) to ensure billing accuracy.
Research and resolve PO discrepancies, price variances, un-invoiced receipts, and missing documentation directly with vendors and internal teams.

2. ERP & Financial Data Integrity

Serve as a primary daily user of NetSuite ERP for PO creation, receiving updates, inventory adjustments, and AP data entry.
Assist with QuickBooks entry, general ledger alignment, and routine financial record maintenance.
Generate and analyze weekly/monthly reports, including AP Aging, open PO tracking, and procurement spend metrics for executive leadership.

3. Inventory & Logistics Coordination

Collaborate closely with warehouse staff to track stock replenishment, monitor lead times, and verify physical receipts against shipping manifests.
Process incoming orders and support logistics workflows to maintain optimal inventory safety-stock levels.
Maintain strong, professional relationships with vendor accounts, advocating for favorable lead times, pricing integrity, and order resolution.

Qualifications & Skills

Experience: 3–5 years of blended experience directly handling both Purchasing/Procurement and Accounts Payable/GL Support.
ERP Mastery: Solid, hands-on experience using NetSuite ERP (Purchasing, Inventory, and AP modules). Working knowledge of QuickBooks.
Core Accounting: Firm grasp of foundational accounting principles (GL entries, debits/credits, inventory valuations, and reconciliations).
Excel Skills: Intermediate-to-advanced Microsoft Excel proficiency (VLOOKUP/XLOOKUP, Pivot Tables, data validation, and matching).
Attributes: Sharp attention to detail, proactive problem-solving mindset, and strong communication skills.

Preferred

Formal NetSuite Certification or power-user background in reporting and inventory modules.
Prior experience in wholesale, distribution, manufacturing, or supply chain settings.
Exposure to EDI systems or managing Third-Party Logistics (3PL) operations.
