Job Overview

We are seeking a professional and organized Front Desk Receptionist to join our team. This role is vital in providing exceptional customer service, managing administrative tasks, and ensuring smooth office operations. The ideal candidate will possess strong communication skills, proficiency with office management software, and the ability to handle multiple responsibilities efficiently.. This position offers an opportunity to work in a dynamic environment where organizational skills and attention to detail are highly valued.

Responsibilities

Greet visitors and clients warmly, creating a welcoming environment
Manage multi-line phone systems, directing calls appropriately
Schedule appointments and maintain calendars using office management tools
Handle data entry, filing, and document proofreading with accuracy
Utilize QuickBooks and Microsoft Office Suite for administrative tasks
Support office management through clerical duties such as photocopying, faxing, and mailing
Maintain organized records and ensure confidentiality of sensitive information
Assist with billing, bookkeeping, and basic bookkeeping tasks as needed
Provide excellent customer service by addressing inquiries promptly and professionally
Support team members with administrative tasks including calendar management and personal assistance duties

Skills

Proficiency in computer literacy including Microsoft Office (Word, Excel, Outlook) and Google Workspace
Experience with multi-line phone systems and phone etiquette
Strong organizational skills with the ability to prioritize tasks effectively
Excellent typing speed and data entry accuracy
Bilingual abilities are preferred to serve diverse client needs
Previous office management or administrative experience is highly desirable
Knowledge of QuickBooks, bookkeeping, or medical/dental receptionist experience is a plus
Attention to detail for proofreading and document accuracy
Strong customer service skills with a professional demeanor
Ability to manage time efficiently in a fast-paced environment
