Full Job Description

Roles & Responsibilities For Client Service Coordinator

· Serve as a primary point of contact for clients regarding account inquiries, service requests, and administrative support.

· Deliver timely, professional, and accurate responses to client communications via phone, email.

Anticipate client needs and proactively follow up on outstanding requests or issues.
Provide clear, professional communication regarding timelines, requirements, and next steps.
Maintain detailed records of client interactions and service activities in the CRM system.
Deliver a high level of service while maintaining confidentiality and professionalism.

Advisor & Client Meeting Support (Case Preparation)

Assist with preparing comprehensive case materials in advance of client meetings
Run in-force illustrations for life insurance policies
Run new life insurance illustrations
Obtain and/or generate investment proposals
Create and maintain client account overviews, including balances, holdings, and policy summaries.
Organize financial data and documentation to ensure advisor(s) are fully prepared for client discussions.
Assist with post-meeting follow-ups, action items, and documentation.

Account Administration & Processing

Prepare, process, and track client paperwork including account openings, transfers, updates, and maintenance requests.
Assist clients with money movement requests.
Process account distributions including wires, ACH transfers, and check requests.
Support incoming asset transfers via ACH, ACAT and rollover requests.

o Track the status of transfers and proactively communicate updates to clients

Update client account information such as beneficiary designations, banking details, and personal information.
Assist clients with registering for online access

Life Insurance Application & Underwriting Support

Coordinate the life insurance application process from submission through policy issuance.
Send applications to clients and ensure timely completion and submission.
Order and track required medical exams, and medical records as necessary
Serve as a point of contact for clients during the underwriting process,
Communicate with carriers, underwriters, and advisors to facilitate timely underwriting decisions.
Monitor application status and follow up on outstanding requirements.

Core Competencies & Skills

Strong attention to detail and organizational skills
Ability to manage multiple cases and deadlines simultaneously
Clear written and verbal communication skills
Familiarity with financial products, custodians, and insurance carriers
Proficiency with CRM systems and financial platforms

Job Type: Full-time

Pay: $64,000.00 - $85,000.00 per year
