Job Overview
We are seeking a dynamic and detail-oriented Bookkeeper/Administrative Assistant to join our team! This vital role combines essential bookkeeping responsibilities with administrative support to ensure smooth office operations. The ideal candidate will be energetic, highly organized, and possess excellent communication skills. You will manage financial records, handle front desk duties, coordinate schedules, and provide exceptional customer service. Duties

Maintain accurate financial records using QuickBooks, including invoicing, expense tracking, and bank reconciliations
Manage front desk operations, greeting visitors and clients with professionalism and warmth
Answer and direct multi-line phone systems efficiently while providing excellent customer support
Perform data entry, filing, and proofreading to ensure all administrative documents are accurate and organized
Support office management tasks such as calendar scheduling, appointment setting, and meeting coordination
Handle clerical duties including mail distribution, document preparation, and maintaining office supplies
Assist with bookkeeping tasks related to payroll, billing, and financial reporting as needed

Qualifications

Proven experience with QuickBooks accounting software and Microsoft Office Suite (Word, Excel, Outlook)
Strong organizational skills with the ability to prioritize tasks effectively in a busy environment
Excellent phone etiquette and customer service skills; bilingual abilities are a plus
Office management experience including calendar management and filing systems
Demonstrated clerical experience with data entry, proofreading, and document handling
Familiarity with Google Workspace tools (Gmail, Drive) and general computer literacy
Previous experience as a receptionist or personal assistant is advantageous; medical or dental receptionist experience is a plus
Strong time management skills with the ability to multitask efficiently in a fast-paced setting
