Virtual Receptionist – Psychotherapy Private Practice

Lakeside Counseling Center is a growing group psychotherapy practice serving clients throughout Wisconsin. We are seeking a warm, organized, dependable Virtual Receptionist to join our administrative team.

Because this is a fully remote position, we are looking for someone we can trust to work independently, stay focused and productive throughout their shift, and confidently manage multiple responsibilities at once. The right person will be proactive, highly organized, responsive, and comfortable making day-to-day decisions without needing frequent direction.

This role is ideal for someone who enjoys helping people, communicates professionally and compassionately, and can skillfully multitask in a fast-paced virtual environment. Because you will often be the first point of contact for prospective and current clients, strong customer service skills, sound judgment, and attention to detail are essential.

Responsibilities

The Virtual Receptionist will assist with day-to-day administrative and client-support functions, including:

Answering incoming phone calls, voicemails, emails, and client inquiries
Providing prospective clients with information about our services and helping connect them with an appropriate therapist
Scheduling intake appointments and coordinating appointment-related communication
Creating and maintaining client charts in our electronic health record system
Collecting demographic, insurance, and other required information from clients
Assisting with verification of insurance benefits
Following up on rejected claims, denials, and other basic insurance-related issues
Routing calls and messages to the appropriate clinician or administrative team member
Managing multiple incoming needs at once while appropriately prioritizing urgent or time-sensitive matters
Completing routine clerical work, data entry, faxing, emailing, and document processing
Maintaining accurate records and following established administrative workflows
Staying productive throughout the shift and proactively identifying tasks that need attention
Protecting confidential client information and adhering to HIPAA requirements

What We're Looking For

The ideal candidate is:

Highly trustworthy and dependable, with the ability to work independently in a remote environment without constant oversight
Skilled at multitasking and able to manage phone calls, emails, scheduling requests, insurance-related tasks, and other administrative responsibilities throughout the shift
Able to quickly prioritize competing demands and recognize which client or administrative needs require immediate attention
Proactive and self-directed, with the ability to notice what needs to be done rather than waiting to be assigned each task
Able to stay focused, productive, and engaged during scheduled work hours
Friendly, professional, and comfortable communicating with clients by phone and email
Highly organized with excellent attention to detail and follow-through
Comfortable learning and navigating technology, electronic health records, and online systems
Able to follow established workflows while also using good judgment when unexpected situations arise
Comfortable working collaboratively as part of a remote administrative team
Sensitive to the confidential nature of behavioral health services and committed to maintaining HIPAA compliance

Preferred Experience

2+ years of customer service or administrative experience preferred
Experience in a mental health, medical, or private-practice setting
Experience with health insurance verification, billing, claims, or denials is a plus
Strong computer and technology skills
Experience with electronic health records or practice-management software is a plus
Spanish/English bilingual candidates are strongly encouraged to apply

Schedule

This is a part-time remote position. We are looking for someone who can provide consistent coverage during a combination of the following hours:

3–4 weekday mornings per week for approximately 4–5 hours per day
Monday–Thursday: 8:00 AM–1:00 PM
Friday: 9:00 AM–12:00 PM

Final scheduling may be determined based on practice needs and candidate availability.

Compensation

Starting pay: $15–$18 per hour, depending on experience, with consistent opportunities for pay increase.
