POSITION SUMMARY
The Supply Chain Specialist: Product Management is a highly organized, detail-oriented professional responsible for supporting product lifecycle management, product data administration, demand planning, procurement coordination, inventory availability, and supply chain operations across ACE Sushi's national network of locations.
This role plays a critical role in ensuring the accurate setup, maintenance, and management of product information within ACE's supply chain, inventory management, purchasing, and client-facing systems. The position supports new product launches, product transitions, pricing updates, inventory planning, vendor coordination, and product availability initiatives that directly impact operational execution and customer satisfaction.
The Supply Chain Specialist works closely with Supply Chain, Operations, Food Safety, Business Development, Accounting, vendors, distributors, and warehouse personnel to ensure products are accurately represented, properly sourced, effectively managed, and available to support both existing and new locations. This position is responsible for maintaining data integrity across systems, supporting purchasing and replenishment activities, coordinating product information, and assisting with inventory flow from suppliers through warehouse and field operations.
This is a hybrid role that combines office-based supply chain and product management responsibilities with hands-on warehouse support. The position is generally expected to work in the corporate office approximately three (3) days per week while also maintaining a working knowledge of warehouse operations and inventory management activities. The Supply Chain Specialist must be capable of providing warehouse coverage and operational support when the primary warehouse team member is unavailable due to vacation or illness, or to support other business needs (e.g. large auto-shipment preparation).
To be successful in this role, the Supply Chain Specialist must develop and maintain a comprehensive understanding of ACE Sushi's supply chain operations, including product specifications, inventory management practices, warehouse operations, vendor relationships, purchasing processes, shipping requirements, distribution networks, ordering guidelines, and operational support needs. The role serves as an important link between suppliers, warehouse operations, and field operations, helping ensure products move efficiently and accurately throughout the supply chain.
The ideal candidate is analytical, organized, customer-focused, and capable of balancing detailed administrative responsibilities with operational support activities. This position requires strong attention to detail, excellent communication skills, sound judgment, and the ability to manage multiple priorities in a fast-paced environment while supporting ACE Sushi's commitment to operational excellence, customer service, food safety, and supply chain efficiency.
ESSENTIAL DUTIES
1. Product Management, System Administration & Data Integrity
- Own the accuracy, completeness, and integrity of product information across ACE's inventory, purchasing, ERP, WTP, and client-facing systems.
- Set up, maintain, and audit product records, ingredient statements, nutritional fact panels, allergen information, labels, pricing, costing, vendor information, and item attributes.
- Ensure accurate generation and maintenance of product labels and regulatory product documentation.
- Coordinate new product introductions, product transitions, product updates, and product discontinuations to ensure seamless execution throughout the organization.
- Upload, maintain, and validate product information, pricing, and promotional data within customer and eCommerce platforms.
- Proactively identify, troubleshoot, and resolve product data discrepancies, system issues, and process gaps.
- Develop and maintain expert knowledge of ACE products, product specifications, vendors, ordering requirements, shipping requirements, and distribution processes.
- Support food safety, quality assurance, and regulatory compliance by maintaining accurate and complete product documentation.
2. Strategic Sourcing, Procurement & Financial Stewardship
- Source food and non-food products that meet operational, quality, food safety, and cost requirements.
- Coordinate purchasing activities and vendor communications to ensure product availability and operational continuity.
- Assist with vendor identification, evaluation, onboarding, and ongoing vendor relationship management.
- Facilitate new item sourcing and support development and maintenance of product catalogs and sourcing resources.
- Review, track, and coordinate product samples through the evaluation process, including communication with culinary, operations, and supply chain stakeholders.
- Maintain accurate product costing, pricing, freight, and vendor information within company systems.
- Review purchasing, inventory, and vendor transactions for accuracy and identify discrepancies requiring correction or escalation.
- Analyze product costs, pricing trends, freight expenses, inventory usage, and purchasing opportunities to identify potential cost savings and operational efficiencies.
- Support inventory forecasting, demand planning, replenishment strategies, and purchasing decisions through data analysis and reporting.
- Demonstrate responsible stewardship of company inventory, financial resources, and supply chain investments.
3. Inventory Management, Warehouse Operations & Supply Chain Execution
- Plan, monitor, and analyze inventory levels to support optimal product availability while minimizing excess inventory, stock shortages, and waste.
- Coordinate and support monthly physical inventory processes, inventory reconciliations, and inventory accuracy initiatives.
- Assist with inventory transfers, warehouse inventory balancing, and inventory-related transactions in partnership with Accounting and Operations.
- Develop and maintain a working knowledge of all warehouse operations, inventory management processes, receiving procedures, fulfillment activities, and shipping requirements.
- Provide warehouse coverage and operational support when primary warehouse personnel are unavailable.
- Support receiving, inventory movement, order fulfillment, shipping coordination, inventory counts, and large-order preparation activities.
- Ensure products are received, stored, handled, and distributed in accordance with company standards, food safety requirements, and operational needs.
- Partner with warehouse personnel and field operations teams to ensure efficient product flow throughout the supply chain.
4. Cross-Functional Partnership, Analytics & Product Lifecycle Support
- Build productive working relationships with Operations, Account Management, Culinary, Business Development, Accounting, vendors, distributors, and warehouse personnel.
- Communicate proactively regarding product availability, inventory concerns, supply disruptions, purchasing needs, and product lifecycle activities.
- Conduct product, pricing, inventory, and promotional analysis to support operational and business decision-making.
- Participate in product testing, product evaluations, and new product rollout initiatives.
- Support purchasing compliance initiatives and partner with stakeholders to improve consistency and operational effectiveness.
- Assist internal teams with product-related reporting, recommendations, and supply chain analysis.
- Provide backup support for customer service and supply chain support functions, including order placement, chef support requests, translation assistance, and issue resolution as needed.
- Collaborate across departments to improve supply chain processes, inventory management practices, and product lifecycle management.
5. Compliance, Security & Continuous Improvement
- Maintain accurate records, documentation, and reporting related to products, inventory, vendors, purchasing, warehouse operations, and supply chain activities.
- Support compliance with company procedures, food safety standards, purchasing guidelines, inventory controls, and supply chain policies.
- When covering warehouse operations, serve as a gatekeeper for facility access by monitoring visitors, deliveries, vendors, and authorized entry into the building and gated property.
- Protect confidential business information and support physical security measures, including controlled building access, visitor management, and adherence to company security procedures.
- Continuously seek opportunities to improve efficiency, data accuracy, inventory control, product management processes, purchasing practices, and overall supply chain performance.
- Support special projects, new business initiatives, warehouse activities, trade shows, and other supply chain priorities as assigned.
QUALIFICATIONS
Education
- Bachelor’s degree in Supply Chain Management, Business Administration, Logistics, Operations Management, Purchasing, or a related field.
- Equivalent combination of education, training, and relevant work experience may be considered.
Experience
- Minimum of three (3) years of experience in supply chain, purchasing, procurement, inventory management, warehouse operations, product management, food distribution, or a related business function.
- Experience maintaining product data, inventory records, purchasing systems, ERP systems, or product management platforms.
- Experience working with vendors, distributors, inventory planning, procurement activities, or warehouse operations.
- Experience analyzing data, preparing reports, and supporting operational decision-making.
- Food manufacturing, food service, grocery retail, distribution, franchising, or multi-unit operations experience preferred.
- Experience supporting cross-functional teams and managing multiple priorities in a fast-paced environment.
- Experience with inventory counts, warehouse operations, shipping, receiving, or logistics activities preferred.
- Bilingual skills (English and Burmese, Chinese, Spanish, or other languages commonly used within ACE operations) are a plus.
Knowledge
- Working knowledge of inventory management, purchasing, procurement, and supply chain principles.
- Understanding of product lifecycle management, vendor management, and demand planning concepts.
- Knowledge of food products, food labeling requirements, nutritional information, ingredient statements, and regulatory documentation preferred.
- Understanding of warehouse operations, inventory controls, shipping procedures, and distribution processes.
- Knowledge of forecasting, inventory replenishment, and supply chain analytics preferred.
- Familiarity with food safety standards, inventory management practices, and operational compliance requirements.
Technical Skills
- Proficiency with Microsoft Excel, including data analysis, reporting, formulas, pivot tables, and spreadsheet management.
- Experience working with ERP systems, inventory management systems, purchasing systems, or product management platforms.
- Ability to maintain large volumes of product, inventory, vendor, and pricing data with a high degree of accuracy.
- Ability to analyze inventory, pricing, purchasing, and product performance data to identify trends and opportunities.
- Strong documentation, reporting, and recordkeeping skills.
- Ability to learn and effectively utilize ACE systems, including WTP, inventory management, purchasing, warehouse, and client-facing platforms.
