Full Job Description

Woundtech is seeking a Scheduling and Operational Excellence Manager to lead operational initiatives that strengthen workflow performance, scheduling effectiveness, clinical integration, and patient care coordination. This role partners clinical, operational, financial, vendor, and leadership stakeholders to align processes, improve care delivery, and support scalable, efficient, and high-quality operations. The position evaluates current workflows, analyzes performance data, identifies improvement opportunities, and implements solutions that advance both operational performance and clinical program effectiveness.

Executive Summary of Key Responsibilities· Lead operational initiatives that improve productivity, service quality, care coordination, scheduling effectiveness, and alignment with organizational goals.· Partner with clinical, operational, financial, vendor, and leadership stakeholders to identify workflow gaps, implement scalable solutions, and support high-quality patient care delivery.· Use performance data, dashboards, root cause analysis, and operational reporting to monitor outcomes, recommend corrective actions, and support data-driven decisions.

Leadership and Operational Oversight· Lead assigned managers, team leaders, and front-line team members, including hiring, onboarding, training, coaching, retention, performance management, feedback, and team engagement.· Oversee patient scheduling operations, including visit frequency management, schedule accuracy, workflow adherence, documentation standards, turnaround times, and timely coordination of patient care.· Monitor operational and financial performance to support budget adherence, revenue targets, profit and loss goals, productivity expectations, cost-control opportunities, and efficient resource utilization.· Ensure workflows, documentation requirements, quality standards, regulatory guidelines, and compliance expectations are consistently followed and incorporated into performance management.

Operational Support and Optimization· Design, standardize, and continuously improve operational workflows, staffing models, scheduling processes, vendor coordination, quality programs, and clinical support functions.· Develop and use dashboards, operational reports, performance metrics, and root cause analysis to monitor results, identify gaps, recommend corrective actions, and support data-driven decision-making.· Manage vendor performance against agreed scope, productivity expectations, quality standards, turnaround times, financial alignment, and cross-functional integration requirements.· Identify operational barriers, recommend practical improvements, and implement solutions that strengthen workflow reliability, scalability, and overall program effectiveness.

Cross-Functional Communication· Lead cross-functional operational projects by defining timelines, milestones, workgroups, deliverables, success measures, and communication plans with clinical, operational, financial, vendor, and leadership stakeholders.· Promote a collaborative culture by seeking team member feedback, sharing expertise, supporting problem solving, and aligning operational and clinical programs with organizational performance priorities.· Facilitate clear, timely communication across departments to ensure stakeholders understand priorities, workflow changes, performance expectations, and implementation status.

Provider Onboarding and Training Support· Support provider onboarding by coordinating operational workflows, scheduling expectations, documentation standards, communication pathways, and system-use requirements.· Partner with clinical and operational leaders to identify training needs, reinforce standard processes, and ensure providers understand operational expectations that support timely, coordinated patient care.· Monitor early onboarding performance indicators, surface workflow barriers, and coordinate follow-up support to help providers integrate effectively into established operational processes.

Role Essentials:· Minimum of five years of experience in healthcare operations, clinical operations, provider operations, or a related operational leadership role.· Demonstrated experience leading operational teams, including coaching, performance management, team engagement, workflow accountability, and day-to-day operational oversight.· Strong understanding of healthcare scheduling, patient care coordination, documentation workflows, service delivery expectations, and operational compliance requirements.· Strong analytical skills, with the ability to use dashboards, operational reports, performance metrics, and root cause analysis to identify trends, evaluate performance, and develop practical action plans.· Experience designing, standardizing, implementing, or optimizing operational workflows, staffing models, vendor coordination processes, or scalable support functions.· Demonstrated ability to facilitate cross-functional groups, manage operational projects, define timelines and deliverables, and lead stakeholders toward shared performance objectives.· Strong customer-service orientation, with the ability to build productive relationships with clinicians, providers, internal teams, customers, vendors, and senior leaders.· Excellent interpersonal, verbal, and written communication skills, including the ability to communicate workflow changes, performance expectations, implementation status, and operational priorities clearly and professionally.· Ability to support provider onboarding and operational training by reinforcing scheduling expectations, documentation standards, communication pathways, system-use requirements, and standard workflows.· Proactive, energetic, and comfortable influencing others, solving operational barriers, and driving continuous improvement in a fast-paced, changing environment.· Proficiency with Microsoft Office applications, including Word, Excel, and PowerPoint; experience with case management software, scheduling platforms, and electronic medical record systems preferred.· Proven ability to work independently, manage multiple priorities, monitor follow-through, and meet deadlines in a demanding environment.· Experience working in risk-based environments, value-based care models, managed services organizations, or other healthcare payment and performance models.

Role Desirables:· Operations-related certification, training, or education.· Clinical degree, clinical background, or direct experience working with clinical care teams.· Experience in case management, utilization management, managed services organizations, independent practice associations, health plans, or similar healthcare settings.· Wound care experience.· Bilingual communication skills in English and Spanish.
