Administrative Assistant

Our legal department operates in a fast-paced environment, and we are seeking a highly organized Legal Administrative Assistant to support its day-to-day operations. This is a fundamentally administrative position: the successful candidate will be responsible for maintaining documents, trackers, and invoices with precision, enabling counsel and staff to focus on substantive legal work. We are looking for a detail-oriented professional who values accuracy, structure, and the integrity of well-managed systems, and who takes pride in serving as a dependable foundation for a busy team.

Key Responsibilities

Place and track outside counsel engagements and orders, maintaining clear records of status and ownership.
Save and organize documents in strict accordance with the department's naming conventions.
Maintain and update trackers to build and sustain a single, streamlined source of truth for the team.
Upload materials to designated portals in a clear, coherent manner so that other parties can easily understand and follow them.
Audit files for accuracy and consistency, renaming and reorganizing as needed to align with naming conventions.
Review signature pages for accuracy and completeness.
Edit documents and provide redlines as needed.
Review invoices in detail for accuracy and compliance, then submit them in alignment with the department's budget.
Provide administrative support to counsel and staff on additional matters as they arise.
Keep the team aligned, informed, and highly organized across all ongoing work.

Qualifications

Exceptional attention to detail — nothing slips through the cracks.
A professional and discreet approach, with sound judgment around confidential and sensitive information.
Strong organizational skills and the ability to manage multiple priorities in a fast-paced environment.
Clear, coherent communication, both written and verbal.
Proficiency in Microsoft Word and Adobe Acrobat.
Comfort with document management systems, portals, and tracking tools.

Preferred Qualifications

Bachelor's degree preferred.
At least 3 years of administrative and/or legal support experience preferred.
Experience with RealPage and Clockify preferred
