ROLE:

You are responsible for the day-to-day accounting of a property management company. Your tasks include inputting transactions, initiating payments, and reconciling bank accounts and portfolios. You will also communicate weekly with the CEO.

Your role is crucial for maintaining the financial health of our company and our clients. You will build monthly reports for both our clients and the company to help achieve our goals.

RESPONSIBILITIES:

- Recording Financial Transactions: Accurately record all financial transactions, including rent payments, maintenance expenses, utility bills, and other property-related expenses.

- Managing Accounts Payable and Receivable: Manage invoicing, process tenant payments, and ensure timely payment of bills and vendor invoices.

- Bank Reconciliation: Regularly reconcile bank statements with the company's financial records to ensure accuracy and identify any discrepancies.

- Financial Reporting: Prepare monthly, quarterly, and annual financial statements, including balance sheets, income statements, and cash flow statements for review by management and stakeholders.

- Tenant and Lease Management: Maintain records of lease agreements, rent rolls, and tenant details. Track lease expirations, renewals, and

adjustments in rent.

- Compliance and Auditing: Ensure compliance with financial regulations and company policies. Prepare documents and assist with internal and external audits.

- Tax Preparation: Assist with the preparation of tax returns and ensure all property taxes are paid on time.

- Expense Tracking: Monitor and control property expenses, ensuring they remain within budget and are appropriately allocated.

- Cash Management: Manage the company's cash flow by tracking incoming and outgoing funds, ensuring sufficient funds are available to meet obligations.

- Software Utilization: Use accounting software and property management systems to maintain accurate records and generate financial reports. Experience with Rentvine PMS is a Plus

- Communication: Liaise with property managers, tenants, vendors, and other stakeholders regarding financial matters.

- Supporting Property Management: Provide financial support to property managers by offering insights and data to inform decision-making processes.

RESULTS:

- Financial records for all properties under management are always maintained and up to date.

- Monthly, quarterly, and annual financial reports are completed on time.

- Property expenses are monitored and managed to ensure cost-effectiveness and efficiency.

- Accounts payable and accounts receivable are processed promptly and accurately, and all transactions are correctly recorded.

- Tenant invoices are generated and distributed on time and collections are managed to maintain a healthy cash flow.

- Bank reconciliations are performed regularly and all financial transactions are accurately recorded and discrepancies are promptly addressed.

- Budgets are prepared and monitored and are in alignment with our financial goals and objectives.

- We are always compliant with all relevant accounting standards, regulations, and company policies.

- Necessary documentation for internal and external audits are prepared in a timely manner.

- You are conducting regular financial analysis to provide insights and recommendations for property performance improvements.

- We are utilizing efficient accounting software and systems to streamline processes and improve accuracy.
