Full Job Description

We are seeking a dependable, organized, and detail-oriented Part-Time Accounting & Administrative Assistant to support our Controller, Owner, and Sales Team. This position will assist with basic accounting functions, QuickBooks data entry, credit card documentation, Sales Orders and Purchase Order entry, filing, and general administrative support.

The ideal candidate will have previous experience using QuickBooks and Microsoft Office, particularly Excel and Word. This role is best suited for someone who is comfortable working with financial documents, maintaining accurate records, and assisting multiple departments as needed.

Responsibilities

Gather, organize, and review company credit card receipts.
Review monthly credit card statements and match receipts to individual transactions.
Enter credit card transactions into QuickBooks and post credit card payments.
Assist the Controller with credit card and bank statement reconciliation paperwork.
Enter selected vendor invoices into QuickBooks.
Record customer and vendor payments in QuickBooks, as directed.
Enter purchase orders and sales orders into the appropriate systems.
Prepare employee reimbursement sheets and enter reimbursements into QuickBooks.
Assist the Sales Team with landed cost calculations, customer quotes, and related documentation.
Assist the Controller, Owner, and Sales Team with administrative tasks as needed.
Create and update documents, spreadsheets, reports, and forms using Microsoft Word and Excel.
Maintain organized electronic and paper filing systems.
Gather supporting documentation for accounting records and monthly reconciliations.
Assist with maintaining accurate job updates in required systems.
Perform general office and clerical duties as assigned.

Required Qualifications

Previous QuickBooks experience is required.
Basic accounting and bookkeeping knowledge is required.
Proficiency in Microsoft Excel and Word is required.
Strong attention to detail and accuracy is required.
Ability to organize receipts, statements, invoices, and supporting documentation.
Ability to handle confidential financial and company information professionally.
Strong written and verbal communication skills.
Ability to prioritize responsibilities and work independently.
Dependable, organized, and willing to assist different departments as needed.

Preferred Qualifications

Previous experience in an accounting, bookkeeping, or administrative support position.
Experience working with purchase orders, sales orders, landed costs, and customer quotes.
Smartsheet experience is a plus.
Experience supporting a Controller, accounting department, or sales team is preferred.

About the Position

This is a part-time position averaging approximately 20 hours per week. The Accounting & Administrative Assistant will report directly to the Owner and Controller and will work closely with the Sales Team. This position is primarily responsible for accounting support, accurate data entry, document preparation, and maintaining organized financial records.

Pay: $18.00 - $23.00 per hour
