Overview
Lamb of God Lutheran Church is seeking a highly organized, creative, dependable, and experienced Administrative Officer to support church operations, worship preparation, communications, and congregational administration.
This is a high-capacity, high-trust administrative position serving as direct support to the Lead Pastor. The Administrative Officer helps ensure that worship materials, communications, scheduling, ministry support, and daily operations are completed accurately, professionally, confidentially, and on time.
This position combines required in-person hours with approved remote responsibilities and requires initiative, accountability, sound judgment, attention to detail, flexibility, and professional collaboration.
Position Boundaries and Accountability
This is a non-clergy administrative support position. It does not include preaching, pastoral authority, independent ministry leadership, theological decision-making, or authority to change worship practices, personnel matters, financial procedures, church policies, or official communications without approval.
The Administrative Officer:
- Reports directly to the Lead Pastor
- Implements approved priorities, procedures, and deadlines
- Works within established responsibilities and professional boundaries
- Maintains strict confidentiality regarding pastoral, personnel, member, donor, and financial matters
- Communicates questions, concerns, and recommendations directly and professionally through the appropriate supervisory channels
Schedule
- Part-time, approximately 24–32 hours per week
- Tuesday–Thursday in office, generally 10:00 a.m.–4:00 p.m.
- Remaining scheduled hours may be completed remotely for approved communications, publications, website, social media, and administrative responsibilities
- Occasional additional hours (after hours) may be required for meetings, church events, seasonal ministries, and special services
Primary Duties
Worship Preparation
- Prepare and produce weekly English and Spanish worship bulletins
- Submit initial bulletin drafts to the Lead Pastor by Tuesday at 12:00 p.m.
- Incorporate revisions and complete final worship materials by established deadlines
- Create worship slides, readings, announcements, binders, and supporting materials
- Distribute weekly bulletins, readings, schedules, and instructions to worship leaders
- Print and place final worship materials in their designated locations before Sunday services
- Coordinate with the Lead Pastor, music staff, ministry leaders, and volunteers
Communications and Publications
- Design, prepare, and distribute the weekly e-blast by the established Thursday deadline
- Coordinate the monthly Bellwether newsletter, including articles, photographs, ministry updates, sermon content, and graphics
- Create sermon graphics, bulletin covers, road-sign messages, announcement slides, and ministry promotions
- Update weekly announcements and confirm that all published information is accurate and approved
- Maintain consistent church branding, formatting, tone, and quality
- Coordinate communication content with the Lead Pastor and authorized ministry leaders
Website and Social Media
- Update the church website with sermons, bulletins, events, ministry information, and announcements
- Create and schedule approved social-media content for worship, sermons, ministries, hospitality, and outreach
- Maintain organized digital files, templates, graphics, photographs, and communication archives
- Protect church passwords, account access, member information, and digital resources
Pastoral and Congregational Support
- Assist with the Lead Pastor’s calendar, scheduling, priorities, meetings, and administrative follow-up
- Coordinate approved pastoral visits, prayer requests, and congregational-care communications
- Maintain the master prayer list and prepare approved weekly names for worship materials
- Communicate with members, visitors, volunteers, vendors, ministry leaders, and staff professionally and promptly
- Refer pastoral, theological, personnel, conflict-related, and confidential matters directly to the Lead Pastor
Office and Operations
- Oversee day-to-day church office operations during scheduled hours
- Serve as a welcoming and professional point of contact
- Maintain the church calendar and coordinate approved facility scheduling
- Prepare rooms, materials, and resources for meetings, worship, and events
- Coordinate volunteers, logistics, and communications for church programs
- Maintain organized office systems, workflows, checklists, files, and procedures
- Complete assignments by established deadlines and communicate promptly when clarification is needed
Hospitality and Ministry Support
- Coordinate weekly hospitality and fellowship arrangements with designated leaders and volunteers
- Confirm refreshments, supplies, setup, volunteer coverage, and cleanup plans
- Assist with volunteer scheduling for worship and ministry activities
- Support special events, seasonal gatherings, and congregational celebrations
Systems and Records
- Maintain accurate membership and contribution records using ICON or an approved church-management system
- Process authorized financial and administrative information using QuickBooks or other approved systems
- Organize and maintain OneDrive and shared files according to established standards
- Prepare materials for council meetings, ministry meetings, worship services, and special events
- Follow all financial controls, approval procedures, data-security requirements, and records-management practices
Required Skills and Qualifications
- Prior experience in office management, executive or pastoral support, church administration, communications, project coordination, or a comparable administrative role
- Demonstrated ability to manage recurring deadlines and multiple priorities
- Strong Canva, graphic-design, and publication-production skills
- Strong written, verbal, organizational, proofreading, and interpersonal skills
- Proficiency in Microsoft Office, Outlook, OneDrive, and related digital systems
- Experience with website editing and social-media management
- Ability to follow direction, accept feedback, implement approved decisions, and work within established supervisory boundaries
- Ability to work independently while remaining accountable and responsive to the Lead Pastor
- Ability to maintain confidentiality and exercise sound judgment
- Ability to collaborate professionally with church leadership, staff, members, volunteers, and the congregation
- Willingness to understand and respectfully support the Lutheran identity, worship life, mission, and ministry of the congregation
Preferred Qualifications
- QuickBooks experience
- Church-management software experience
- Bilingual English/Spanish abilities

This position generally requires approved remote work on Monday and Friday from 10:00 a.m. to 4:00 p.m., and in-office availability Tuesday through Thursday from 10:00 a.m. to 4:00 p.m. Occasionally, a time-sensitive worship, publication, or communications deadline may require additional approved evening or after-hours work.
