Our Support Services team is currently seeking a Part-Time Document Management Specialist to join our team!

As a Document Management Specialist, you will be responsible for the timely and accurate intake, opening, preparation, scanning, indexing, and routing of incoming physical mail and documents received by SIF. This position performs quality-control checks to ensure electronic records are complete, accurate, and usable. This role requires consistent attendance, reliability, flexibility, attention to detail, and the ability to adjust to changing volumes and priorities.

This is a part-time position (25 hours/week), with a schedule of Monday – Friday 7:30am – 12:30pm.

We’ll be looking for YOU to:

Receive, open, and sort incoming physical mail and other delivered documents each business day.
Prepare documents for scanning by removing staples and bindings, repairing or separating pages as needed, confirming page order, and organizing documents into appropriate batches.
Scan documents into SIF's document-management systems and accurately index or classify records so departments can retrieve and use the electronic images.
Verify scan quality, completeness, orientation, legibility, and indexing accuracy; rescan or correct documents when necessary.
Maintain required mail and batch logs and promptly report discrepancies, missing documentation, damaged items, or processing concerns.
Route physical originals and electronic documents to the appropriate department, queue, or workflow in a timely manner.
Maintain scanning equipment and work areas, perform routine cleaning, and report equipment or system issues promptly.
Monitor supplies and notify the team when inventory is low to support uninterrupted processing.
Provide responsive and professional service to internal and external customers and assist with cross-coverage during peak volumes or staff absences.
Perform other document processing-related tasks as assigned.

Your background should include:

HS Diploma or equivalent.
Prior experience operating high-speed scanners and using document-management or imaging systems.
Prior mailroom, document processing, records-management, or imaging experience preferred.
Highly reliable with the ability to be flexible to adjust to changing daily priorities, volumes, and coverage needs.
Strong organizational skills, attention to detail, and ability to perform repetitive work accurately and efficiently.
Ability to handle confidential and sensitive documents securely and in accordance with established procedures.
Basic proficiency with Microsoft Office and the ability to learn SIF systems and document-processing applications.
Excellent oral and written communication skills and the ability to communicate professionally across all levels of the organization.
Ability to work independently and collaboratively in a cross-functional team environment.
Ability to stand and walk for extended periods and to push, pull, and lift up to 10 pounds frequently and up to 20 pounds occasionally.
