Full Job Description

Overview: Hayden Industrial, a leading manufacturer of industrial cooling systems, is seeking an Accounts Payable Clerk to join our Finance team. In this position, you will perform accounting and clerical tasks related to the accurate and timely processing of accounts payable transactions for Hayden Industrial. The Accounts Payable Clerk will be responsible for entering and processing invoices, maintaining accurate records, resolving routine discrepancies, and providing general administrative support to the Finance department.

Key Responsibilities:

Review invoices for appropriate documentation and required approvals. · Enter invoices accurately and timely into the accounting system. · Match invoices to purchase orders and receiving documentation and research routine discrepancies. · Verify invoice coding, amounts, vendor information, and payment terms before processing. · Process invoices according to established company procedures and payment schedules. · Assist with preparing invoices for scheduled check runs and other payment processing. · Maintain accurate and organized accounts payable files and supporting documentation. · Scan and electronically file invoices and related documents in accordance with company procedures. · Assist with maintaining accurate vendor records and supporting documentation. · Maintain confidentiality of financial and vendor information. · Assist with general accounting and administrative tasks as needed. · Provide support to the Finance Shared Services Manager and Accounts Payable Specialist with special projects and other assigned duties.

Education and Experience:

High school diploma or equivalent required. · One to two years of accounts payable or related accounting experience preferred. · Experience with accounting software and Microsoft Office, particularly Excel, preferred. · Strong attention to detail and accuracy. · Ability to organize and prioritize work while meeting established deadlines.
Ability to work in a high volume fast-paced environment. · Ability to maintain confidentiality and handle financial information appropriately.

Supervisor Responsibility: This position has no supervisory responsibilities.

Work Environment and Physical Demands: The Accounts Payable Clerk position is primarily based in an office environment, with tasks typically performed at a desk or workstation. The role requires extended periods of sitting, frequent use of office equipment, and repetitive motions such as typing and using a mouse. Occasional lifting of office supplies or files (up to 25 pounds) may also be required.

Position Type/Expected Hours of Work: This is a full-time, non-exempt position. Days and hours of work are Monday through Friday, 7:00 a.m. to 4:00 p.m.

Travel: No travel is required for this position.
