We Are Building Something Different

ContextABA is a locally owned, founder-led ABA clinic serving children ages 2–9 in a warm, play-based, child-centered environment.

We believe children make the greatest progress when they feel safe, respected, and genuinely enjoy coming to therapy. Our clinic was intentionally designed to feel more like a preschool and community than a medical office. We prioritize quality over quantity, manageable caseloads, collaborative teams, and treatment that respects each child’s dignity and individuality.

We are looking for an experienced ABA professional to become our Clinic Operations Manager and help keep the clinic organized, well staffed, welcoming, and running smoothly every day.

This is not a corporate healthcare administration position. A college degree in healthcare management is not required. This role is designed for someone who understands ABA clinic operations from firsthand experience—perhaps as an RBT, Lead RBT, trainer, scheduler, office manager, or operations coordinator—and is ready to take ownership of the day-to-day operation of a growing clinic.

About the Role

The Clinic Operations Manager will oversee the nonclinical side of daily clinic operations and work closely with the Clinical Director and BCBAs.

You will be the person who notices what needs to be done, solves day-to-day problems, keeps communication moving, and helps ensure that our clinical team can focus on providing excellent care.

The right person will be highly organized, dependable, approachable, and comfortable balancing schedules, staff needs, parent communication, administrative work, and the unexpected situations that arise in a busy ABA clinic.

What You Will DoDaily Clinic Operations

Oversee the day-to-day operation of the clinic and help ensure that each day starts and runs smoothly.
Maintain a safe, organized, clean, welcoming, and child-friendly environment.
Coordinate opening and closing procedures and help address operational issues as they arise.
Manage clinic supplies, equipment, food and household items, and other recurring operational needs.
Coordinate repairs, maintenance, vendors, deliveries, and facility-related projects.
Help maintain systems and procedures that support efficient clinic operations.

Staffing and Scheduling

Coordinate daily staff and client schedules in partnership with the clinical team.
Respond to call-outs, late arrivals, schedule changes, and coverage needs.
Communicate schedule updates clearly and promptly to employees and families.
Monitor attendance, punctuality, timekeeping, and compliance with scheduling procedures.
Help management identify staffing needs based on client schedules and clinic capacity.
Support an appropriate balance between reliable client coverage and reasonable staff workloads.

Employee Support and Onboarding

Coordinate new-employee onboarding, orientation, training schedules, system access, and required paperwork.
Help new employees feel welcomed, prepared, and connected to the team.
Track employee certifications, required training, background checks, CPR credentials, and other employment documentation.
Reinforce clinic policies and expectations consistently and professionally.
Serve as an accessible first point of contact for routine employee questions and operational concerns.
Help organize staff meetings, appreciation activities, recognition programs, and team events.
Support a positive, respectful, accountable workplace culture.

Family and Front-Office Support

First point of contact for inquiring families.
Help create a warm and professional experience for children and families from the moment they enter the clinic.
Assist with routine parent communications, scheduling questions, forms, and administrative needs.
Coordinate tours, intake appointments, first-day logistics, and other family interactions.
Help maintain accurate contact, attendance, and administrative records.
Direct clinical questions and treatment concerns to the appropriate BCBA or Clinical Director.

Administrative and Compliance Support

Maintain organized employee, client, operational, and facility records.
Support completion and tracking of required forms, authorizations, credentials, and internal documentation.
Help implement clinic policies and ensure that established procedures are followed.
Assist with payroll preparation by reviewing time entries, attendance records, and missing punches.
Support recruiting activities such as interview scheduling, candidate communication, and onboarding preparation.
Protect confidential employee and client information and follow HIPAA and company privacy requirements.
Assist the owners and Clinical Director with operational projects as the clinic grows.

Who We Are Looking ForRequired Qualifications

At least two years of experience working in ABA services.
Experience as an RBT, Lead RBT, trainer, scheduler, clinic coordinator, office manager, or in a similar ABA role.
A practical understanding of how an ABA clinic operates, including client schedules, RBT coverage, staff attendance, parent communication, and clinical-team workflows.
Strong organizational and time-management skills.
Excellent written and verbal communication.
Ability to remain calm, professional, and solutions-oriented when plans change.
Ability to hold others accountable while treating people respectfully.
Ability to manage multiple priorities without losing track of important details.
Reliable attendance and consistent in-person availability.
Confidence using scheduling systems, electronic records, email, spreadsheets, and other office technology.
High school diploma or equivalent.

Preferred Qualifications

Current or former RBT certification.
Experience coordinating RBT schedules or responding to daily call-outs and coverage needs.
Experience onboarding, training, or mentoring behavior technicians.
Familiarity with ABA practice-management or data-collection software.
Experience with timekeeping, payroll review, credential tracking, recruiting, or employee records.
Experience supporting a center-based ABA program.
Associate’s or bachelor’s degree; however, relevant ABA operations experience is more important than a degree.

Schedule and Location

This is a full-time, in-person position at our Denver clinic located in the Wash Park area.

Because this position is responsible for daily clinic operations, reliable attendance and availability during clinic hours are essential. Occasional availability outside regular hours may be needed for urgent operational issues, special events, or clinic projects.

Compensation

$55,000–$60,000 per year, depending on relevant ABA and operations experience.
