Full Job Description

Position Summary

This is responsible clerical work performing receptionist and clerical support functions for the Housing Authority. Duties include answering and screening telephone calls, greeting and directing visitors, typing correspondence, data entry, maintaining files and records, and scheduling appointments as required by the Admissions and Compliance Manager. Serving as the “front-line” representative of the Athens Housing Authority, performance of duties requires the exercise of tact and sound judgment, excellent public relations skills, and thorough knowledge of standard office procedures.

Major Duties and Responsibilities

1. Serves as office receptionist, answers telephone and in-person requests for information and service, directs visitors to proper person or office.

2. Approves and denies online applications for housing and addresses questions regarding the application process.

3. Receives and reviews for completeness all submitted applications for housing. Notifies applicant of approval or denial of application.

4. Scans all returned applicant mail into mainframe computer system and prepares documents for filing by Admissions and Compliance staff.

5. Receives and maintains all incoming documents and distributes to the appropriate department.

6. Assists Admissions and Compliance staff in scheduling appointments as assigned. Assists in obtaining and checking information for departmental records and reports as needed.

7. Ensures that postage and facsimile equipment are maintained and operational.

8. Receives, opens (as directed), stamps, sorts, and distributes incoming mail; records checks received through mail; operates postage machine meter for outgoing mail.

9. Opens office in the morning and secures office at close of business each day.

10. Operates fax machine and distributes incoming facsimiles.

11. Assists other departments, if time permits, with filing and clerical duties and performs other reasonably related typing and clerical tasks as assigned by Admissions and Compliance Manager.

12. Maintains the information on the monitors in the lobby.

13. Performs other related duties as required.
